A stable organization in the employee benefits and insurance industry is seeking a dependable Receptionist to support front office operations and administrative functions in Pleasanton, CA. Key Responsibilities
- Provide administrative support for daily office operations, including document preparation, filing, scanning, copying, and data entry.
- Serve as backup receptionist by answering and directing calls through a multi-line phone system during lunch periods, breaks, and as needed.
- Assemble employee benefits enrollment packets and client documentation with accuracy and attention to detail.
- Process enrollment applications through electronic document management systems.
- Prepare and distribute outgoing mail using Pitney Bowes mailing equipment.
- Maintain organized electronic and physical filing systems for confidential documents and accurate recordkeeping.
Compensation and Benefits

Required Qualifications and Skills
- Support daily administrative office operations in a professional insurance or employee benefits environment.
- Answer and route calls using a multi-line phone system while providing professional customer service.
- Prepare, process, scan, file, and organize confidential client and enrollment documents.
- Perform accurate data entry and maintain records in internal systems and databases.
- High school diploma or equivalent required.
- 1-2 years of administrative, receptionist, or office support experience in a professional office environment.
- Experience operating a multi-line telephone system.
- Proficiency with Microsoft Office 365, including Outlook, Word, and basic Excel for data entry and tracking.
- Strong attention to detail, organization, and time management skills.
- Ability to handle confidential information with professionalism and discretion.
- Excellent verbal and written communication skills.
- Dependable, punctual, and able to maintain consistent attendance.
- Ability to prioritize tasks, work independently, and collaborate effectively with a team.
Preferred Qualifications
- Experience in insurance, employee benefits, financial services, or healthcare.
- Familiarity with document management systems and electronic filing processes.
- Experience using mailing equipment such as Pitney Bowes.
