Job Summary

We are seeking an experienced Project Coordinator for a temp-to-hire opportunity in Milpitas, CA with a well-established general contractor in the industrial facilities and infrastructure construction space. This role is ideal for a highly organized construction administrative professional who enjoys supporting complex projects, coordinating documentation, and keeping project teams aligned from start to finish.

The Project Coordinator will work closely with project managers, subcontractors, vendors, clients, and internal teams to support successful project execution, compliance, communication, and documentation.

Key Responsibilities

- Organize, maintain, and update project documentation, including contracts, change orders, drawings, specifications, RFIs, submittals, permits, and licenses.
- Serve as a key communication point for project stakeholders, including internal teams, clients, subcontractors, vendors, and regulatory contacts.
- Support project scheduling by tracking timelines, milestones, procurement schedules, material deliveries, meetings, inspections, and site visits.
- Assist with contract administration, invoice tracking, project expenses, change orders, budget records, and cost tracking.
- Support quality control and compliance efforts by helping monitor safety standards, regulatory requirements, inspections, audits, and project documentation accuracy.
- Prepare project status reports, track issues and risks, and communicate updates to project managers and senior leadership.

Compensation and Benefits

- Salary range: $70,000 to $80,000 per year.

Required Qualifications and Skills

- Coordinate administrative support for construction projects from planning through completion.
- Manage project documentation, schedules, reports, contracts, change orders, invoices, and compliance records.
- Support communication between project managers, subcontractors, vendors, clients, and regulatory stakeholders.
- Track project milestones, procurement timelines, resources, risks, and project-related expenses.

- 6 to 8 years of experience in a project administrative, project coordinator, or similar support role within the construction industry.
- Experience working with a general contractor is required.
- Strong understanding of construction processes, project documentation, contracts, RFIs, submittals, change orders, and project management workflows.
- High school diploma or equivalent required.
- Strong organizational, time management, multitasking, and prioritization skills.
- Excellent written and verbal communication skills.
- High attention to detail with the ability to identify issues, track follow-up items, and support problem resolution.
- Ability to work effectively with project managers, field teams, subcontractors, vendors, and clients in a fast-paced construction environment.

Preferred Qualifications

- Degree in Construction Management, Engineering, or a related field.
- Experience supporting industrial facilities, infrastructure, commercial construction, or design/build projects.
- Familiarity with construction project management systems and modern document control tools.
- Experience assisting with bids, procurement coordination, vendor proposals, subcontractor coordination, and project cost tracking.
