Job Summary

We are seeking a highly organized and detail-oriented Project Assistant to support construction managers and project teams on complex commercial, industrial facilities, and infrastructure projects in Renton and throughout the Seattle area. This direct hire opportunity is ideal for a construction administrative professional who enjoys keeping projects organized, documentation accurate, and teams moving forward.

The Construction Project Assistant will play a key role in project coordination, document control, contract administration, meeting support, and communication between contractors, consultants, stakeholders, and internal project teams. This is a strong opportunity to join a stable, team-oriented construction environment with supportive leadership, collaborative project teams, and meaningful work tied to major regional construction and infrastructure projects.

The right candidate will bring strong attention to detail, solid construction documentation experience, and the ability to manage multiple priorities in a fast-paced project setting. This role offers visibility across project operations and a clear opportunity to build long-term construction management and project administration expertise.

Key Responsibilities

- Set up, maintain, and manage project files, official construction records, correspondence, and contract documentation within the Contract Management System.
- Track and update RFIs, submittals, non-conformance reports, change orders, action items, pay applications, inspection reports, photographs, and project logs.
- Coordinate project meetings, including scheduling, agenda preparation, meeting materials, meeting minutes, and distribution of follow-up documentation.
- Support contract administration activities, including change order preparation, cost documentation, payment tracking, closeout records, and document control compliance.
- Coordinate with contractors, consultants, tenants, internal departments, and stakeholders regarding permits, site access, utility shutdowns, key requests, and project-related activities.
- Assist Construction Managers with schedule tracking, deliverable follow-up, drawing and specification reviews, red-line documentation, reporting, and general construction management support.

Compensation and Benefits

- Salary range: $75,000 to $95,000 per year.

Required Qualifications and Skills

- Support construction managers and project teams with project documentation, tracking logs, contract records, and communication.
- Coordinate construction administration activities, including RFIs, submittals, change orders, pay applications, meeting minutes, and closeout documentation.
- Maintain project records in construction management, contract management, or document control systems.
- Assist with project coordination across contractors, consultants, stakeholders, and internal teams.

- 3 to 5 years of relevant administrative, project coordination, or construction project support experience preferred.
- 2+ years of experience supporting construction projects, project management teams, engineering firms, contractors, or public works projects.
- Experience with document control systems, contract management systems, or construction management software.
- Strong understanding of construction documentation, RFIs, submittals, change orders, pay applications, meeting minutes, and project closeout records.
- Ability to read and interpret construction drawings, specifications, as-builts, and red-lined documents.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Associate's or Bachelor's degree in Construction Management, Engineering, Business Administration, Project Management, or a related field preferred.
- Excellent written and verbal communication skills with the ability to work effectively with contractors, consultants, internal teams, and project stakeholders.
- Strong organizational skills, time management, attention to detail, problem-solving ability, and follow-through in a deadline-driven construction environment.

Preferred Qualifications

- Experience supporting public sector, aviation, transportation, port, utility, infrastructure, commercial, or industrial construction projects.
- Familiarity with construction management software such as Procore, e-Builder, Primavera, Bluebeam, SharePoint, or similar platforms.
- Knowledge of project controls, contract administration, records management, and construction document management best practices.
- Experience coordinating project closeout documentation, archiving, and compliance-based records management.
- Prior experience supporting estimating documentation, cost tracking, constructability reviews, field directives, construction bulletins, or change notices.
