A growing construction organization in Portland, OR is seeking a Project Administrative Assistant to support project managers with critical administrative, documentation, and billing functions. The Project Administrative Assistant will play an important role in supporting residential and commercial construction projects by assisting with change orders, submittals, requests for proposals, project billing, and related project documentation. This role offers the opportunity to work in a collaborative, project-driven environment with supportive leadership, strong teamwork, and the stability of a well-established construction setting.
Key Responsibilities
- Assist project managers with change orders, submittals, requests for proposals, and project billing.
- Maintain accurate project documentation, files, logs, and administrative records.
- Coordinate communication between project managers, subcontractors, vendors, and internal departments.
- Support tracking of project deadlines, approvals, documentation status, and billing requirements.
- Prepare, review, and organize project-related paperwork to help ensure accuracy and timely processing.
- Provide general administrative support to construction project teams as needed.
Compensation and Benefits
- Salary range: $58,000.00 to $61,000.00 per year.

Required Qualifications and Skills
- Assist with change orders, submittals, requests for proposals, and project billing.
- Support project managers with day-to-day construction project administration.
- Maintain organized project files, documentation, logs, and records.
- Coordinate administrative communication related to residential and commercial construction projects.
- 3 to 5 years of administrative support experience.
- Experience supporting project managers, construction teams, or project-based workflows.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- High attention to detail when reviewing documents, billing information, and project records.
- Professional communication skills for working with internal teams, vendors, subcontractors, and project stakeholders.
- Proficiency with standard office software and the ability to learn project management or construction-related systems.
Preferred Qualifications
- Prior administrative experience in residential, commercial, or office construction environments.
- Familiarity with construction documents such as submittals, change orders, RFIs, RFPs, contracts, and billing support.
- Experience working in a fast-paced project coordination or project administration role.
