Key Responsibilities

- Support the estimating team by gathering vendor quotes, organizing project specifications, and assembling formal construction bids and proposals.
- Generate, review, and process client invoices while tracking project expenses, labor hours, materials, and billing cycles.
- Issue purchase orders, manage PO revisions related to scope changes, and follow up on outstanding purchase orders with clients and vendors.
- Maintain accurate digital records for project costs, billing activity, department spreadsheets, and supporting project documentation.
- Provide administrative and compliance support to ensure project files are complete, organized, and audit-ready.
- Communicate with internal teams, vendors, and clients to support timely project updates, documentation flow, and financial tracking.

Compensation and Benefits

- Salary range: $58,000 to $66,560 per year.

Required Qualifications and Skills

- Support construction estimating, bid preparation, and proposal documentation.
- Process construction invoices, purchase orders, PO revisions, and billing records.
- Track project expenses, labor hours, materials, and financial documentation.
- Maintain organized, accurate, and audit-ready construction project files.

- 2+ years of experience in construction administration, construction billing, estimating support, or project coordination.
- At least 1 year of experience using Sage 100.
- Strong understanding of construction invoicing, purchase orders, vendor quotes, and the bidding process.
- Proficiency with Microsoft Excel, including accurate spreadsheet management and data entry.
- Experience working with construction accounting or construction management software.
- Exceptional attention to detail and accuracy when handling project financial records and documentation.
- Strong follow-up, negotiation, communication, and organizational skills.
- Ability to meet strict project deadlines in a fast-paced construction environment.

Preferred Qualifications

- Experience with Sage 100 or similar construction accounting software.
- Prior experience supporting both residential and commercial construction projects.
- Familiarity with scope changes, PO collections, billing cycles, and project cost tracking.
- Ability to work effectively with estimating teams, project teams, vendors, and clients.
