Job Summary
We are seeking a detail-oriented Parts Administrator, also known as a Bilingual Billing & Parts Coordinator, for a direct hire opportunity in Ontario, CA. This role supports a busy Parts Department by handling billing, parts orders, inventory records, customer communication, and coordination between customers, vendors, warehouse teams, and internal departments.

The ideal candidate will be comfortable balancing administrative work, customer support, order tracking, and billing follow-up while helping ensure parts are processed, shipped, and invoiced correctly.
Key Responsibilities
- Process customer invoices, credits, purchase orders, and billing documents accurately and on time.
- Receive, verify, enter, and track parts orders while maintaining accurate inventory and parts records.
- Research and resolve billing discrepancies, pricing questions, customer inquiries, returns, exchanges, and warranty-related issues.
- Provide professional customer service in English and Spanish by phone, email, and in person.
- Coordinate with warehouse personnel, vendors, and internal teams to support timely order fulfillment, shipping, and delivery.
- Prepare shipping documentation, reconcile invoices with purchase orders and receiving documents, and generate billing, inventory, and parts sales reports.
Compensation and Benefits
- Salary range: $47,840 to $49,500 per year.

Required Qualifications and Skills
- Process billing, invoices, credits, purchase orders, and customer account documentation.
- Coordinate parts orders, order entry, inventory records, shipping documentation, and order tracking.
- Communicate with customers, vendors, warehouse staff, and internal departments to resolve order, pricing, and billing questions.
- Support the Parts Manager with administrative tasks, reporting, records management, and departmental projects.
- High school diploma or GED required.
- Minimum 2 years of experience in billing, parts coordination, customer service, logistics administration, inventory support, or a related administrative role.
- Bilingual in English and Spanish, with the ability to read, write, and speak fluently in both languages.
- Strong data entry skills with excellent attention to detail and accuracy.
- Proficient in Microsoft Office, including Excel, Outlook, and Word.
- Ability to prioritize multiple tasks in a fast-paced parts, warehouse, logistics, or customer service environment.
- Strong communication, follow-up, organization, and problem-solving skills.
- Professional demeanor with a customer-focused approach and strong teamwork skills.
Preferred Qualifications
- Experience using ERP systems, inventory management software, or accounting software.
- Previous experience supporting a parts department, warehouse operation, transportation company, or logistics environment.
- Familiarity with purchase order reconciliation, warranty claims, returns, exchanges, and vendor follow-up.
