Job Summary

We are seeking an Operations Coordinator for a direct hire opportunity with a mission-driven nonprofit organization in Burbank, CA. The Operations Coordinator will help keep internal processes running smoothly by supporting employee records, HR systems, bookkeeping, vendor coordination, office operations, data entry, and asset tracking. Key Responsibilities

- Provide administrative support to Human Resources, including employee files, onboarding paperwork, HRIS updates, interview scheduling, time-off administration, and policy-related support.
- Support finance operations through bookkeeping, accounts payable, accounts receivable, reimbursements, check processing, vendor communication, and financial document preparation.
- Assist with office operations, IT coordination, mail, deliveries, records organization, equipment tracking, and general administrative support.
- Prepare data for Salesforce uploads, maintain accurate records, and help ensure physical and digital files are organized and up to date.
- Coordinate with employees, vendors, school stakeholders, and internal teams in a professional, confidential, and service-oriented manner.
- Assist with meetings, events, inventory, supplies, contracts, audits, and other operational projects as assigned.

Compensation and Benefits

- Salary: $45,000 to $50,000 per year.

Required Qualifications and Skills

- Support HR administration, employee records, onboarding, HRIS updates, and confidential personnel documentation.
- Process bookkeeping tasks, reimbursements, vendor invoices, purchase orders, and financial documentation.
- Coordinate office operations, equipment tracking, data uploads, records management, and vendor communication.
- Provide responsive administrative and project support to HR, Finance, Operations, and leadership teams.

- Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field.
- 1 year of relevant experience required.
- Additional years of experience may be substituted in lieu of up to 2 years of the required education.
- Strong written and verbal communication skills.
- Excellent organizational skills with strong attention to detail.
- Ability to prioritize tasks, multitask, meet deadlines, and work independently with limited supervision.
- Ability to maintain confidentiality, professionalism, integrity, and sound judgment.
- Customer service oriented with the ability to handle sensitive or difficult situations appropriately.
- Intermediate to strong skills in Microsoft Word, Microsoft Excel, and Google Suite.
- Ability and willingness to learn systems such as ADP, QuickBooks, and Salesforce.
- Strong interpersonal skills and ability to collaborate effectively with employees, vendors, and external stakeholders.
- Flexible, coachable, mission-driven, and proactive approach to work.

Preferred Qualifications

- Nonprofit experience preferred.
- Experience with ADP, QuickBooks, and/or Salesforce preferred.
- Prior experience supporting HR, finance, operations, office administration, or nonprofit administrative functions preferred.
