Job Summary

We are seeking an Office Support Specialist for a temporary 3+ month opportunity in Waltham, MA. This role supports a busy university mailroom and office services operation, making it a great fit for someone who enjoys active, hands-on work, providing excellent customer service, and keeping daily operations running smoothly.

The Office Support Specialist will assist with mail processing, package handling, copy and print services, document support, and general office services. This position offers a consistent Monday through Friday schedule, a collaborative campus environment, and the opportunity to work with a supportive team that values reliability, professionalism, and attention to detail.

Key Responsibilities

- Process, sort, distribute, and prepare incoming and outgoing mail, packages, and campus deliveries.
- Operate high-volume copiers, printers, scanners, and document imaging equipment for copy, print, binding, and finishing requests.
- Support shipping, receiving, office supply inventory, filing, records organization, and document management tasks.
- Respond to customer service requests promptly and professionally while supporting staff, faculty, and campus customers.
- Troubleshoot minor equipment issues, maintain logs, record meter readings, and assist with general office support needs.
- Help with meeting room setup, supply movement, and additional administrative or operational duties as assigned.

Compensation and Benefits

- Pay Rate: $19.00 per hour.
- Job Type: Temporary 3+ month contract assignment.
- Schedule: Monday through Friday, 8:30 AM to 5:00 PM.
- Hours: 40 hours per week.
- Location: Waltham, MA.

Required Qualifications and Skills

- Process campus mail, packages, shipping, and receiving activities accurately and efficiently.
- Operate copy, print, scan, document imaging, binding, and finishing equipment.
- Provide responsive customer service and general office support in a high-volume environment.
- Maintain records, supplies, service logs, and organized document handling processes.

- High school diploma or GED required.
- 1 to 2 years of experience in mailroom, office services, print services, administrative support, or a related role.
- Basic computer proficiency, including Microsoft Office.
- Strong customer service, communication, organization, and multitasking skills.
- Ability to work independently and collaboratively in a fast-paced team environment.
- Ability to stand and walk for extended periods, including outdoor campus mail routes.
- Ability to lift up to 50 to 55 lbs. and perform frequent bending, reaching, stretching, and carrying.

Preferred Qualifications

- Prior mailroom experience is preferred.
- Experience in office services, print services, shipping and receiving, or campus support environments is a plus.
- Valid driver's license preferred for future employment opportunities.
