Job Summary

A well-established general contracting company in Kirkland, WA is seeking an experienced Office Administrator / Bookkeeper to join a small, collaborative team in a direct hire role. This is a hands-on position supporting accounting, construction administration, vendor documentation, and daily office operations.

Key Responsibilities

- Process accounts payable, enter vendor invoices, and manage recurring monthly invoices and operating expenses.
- Prepare, distribute, and track subcontract agreements, Certificates of Insurance, W-9s, and related vendor documentation.
- Maintain organized vendor, project, accounting, and office records for daily operational efficiency.
- Manage incoming mail, Positive Pay activity, and general office administration.
- Assist with special projects and cross-train in payroll, accounts receivable, and additional accounting functions as needed.
- Support a small team by taking ownership of tasks, prioritizing deadlines, and pitching in where needed.

Compensation and Benefits

- Salary range: $65,000 to $75,000 per year.

Required Qualifications and Skills

- Process accounts payable, vendor invoices, recurring expenses, and basic accounting transactions.
- Maintain subcontract agreements, COIs, W-9s, vendor files, and project documentation.
- Support day-to-day office administration, mail handling, records management, and special projects.
- Cross-train on payroll, accounts receivable, and other accounting functions as the role grows.

- 3 to 5 years of experience in office administration, bookkeeping, accounting support, accounts payable, or a similar hands-on role.
- Strong understanding of accounts payable and basic accounting procedures.
- Experience using Sage or another accounting or ERP system.
- Proficiency with Microsoft Office.
- Excellent organization, accuracy, and attention to detail.
- Ability to prioritize tasks, work independently, and manage multiple responsibilities.
- Strong communication skills and a collaborative, team-oriented approach.
- Willingness to learn the business, take ownership, and grow into additional responsibilities over time.

Preferred Qualifications

- Experience in construction, general contracting, engineering, mechanical, electrical, property management, or a related industry.
- Familiarity with subcontract agreements, Certificates of Insurance, W-9s, and vendor compliance documentation.
- Interest in growing from a part-time schedule into a broader office management or accounting support role.
