Job Summary

A well-established legal services firm is seeking a Legal Assistant – Real Estate to support a high-volume transactional real estate practice in West Palm Beach, FL. This full-time onsite role is ideal for an experienced legal assistant who is highly organized, detail-oriented, and comfortable supporting multiple attorneys with complex real estate transactions, closings, billing, intake, and client communications.

Key Responsibilities

- Draft, review, revise, and organize real estate contracts, leases, closing documents, and related transactional materials.
- Assist attorneys with real estate closings, due diligence, document coordination, file management, and deadline tracking.
- Manage attorney calendars, meetings, correspondence, court filing support, and transaction-related scheduling needs.
- Handle client billing processes, including paper and electronic billing, prebills, edits, timekeeper inquiries, expenses, and reimbursements.
- Support new business intake, conflict checks, client onboarding, case file setup, and ongoing matter administration.
- Communicate professionally with clients, attorneys, vendors, and third parties while maintaining strict confidentiality.

Compensation and Benefits

Required Qualifications and Skills

- Support attorneys in a fast-paced real estate transactional practice.
- Coordinate closing preparation, due diligence, legal documentation, and matter deadlines.
- Manage billing, intake, file organization, attorney calendars, and client service support.
- Assist with legal correspondence, state court filing systems, and transactional administration.

- Minimum 5+ years of legal assistant experience, preferably within real estate, transactional law, or a related legal practice.
- Experience supporting multiple attorneys simultaneously is required.
- Strong understanding of real estate transactions, closings, leases, contracts, and legal documentation.
- Proficiency with Microsoft Office, including Outlook, Word with track changes, and Excel.
- Experience with legal billing systems, case management systems, electronic billing, prebills, and time entry support.
- State court filing experience required.
- Strong organizational skills with the ability to manage a high-volume workflow and competing deadlines.
- Excellent attention to detail, written and verbal communication skills, follow-through, and client service orientation.
- Ability to work full-time onsite in West Palm Beach, FL.

Preferred Qualifications

- Experience with iManage, SmartTime, and Aderant.
- Federal court filing experience.
- Bachelor’s degree or equivalent professional experience.
- Prior experience supporting business development activities, client events, or high-level attorney administrative needs.
- Experience in a full-service law firm or sophisticated real estate transactional practice.
