Job Summary
We are seeking an experienced Executive Assistant for a direct hire opportunity supporting the President and CEO of a mission-driven nonprofit charitable organization in Los Angeles, CA. This role is ideal for a highly organized, proactive administrative professional who thrives in a fast-paced, evolving environment and takes pride in providing high-level executive support with discretion, professionalism, and sound judgment.
The Executive Assistant will serve as a trusted partner to the CEO, helping manage priorities, communications, calendars, meetings, travel, special projects, and confidential information. Key Responsibilities
- Provide comprehensive administrative support to the CEO, including calendar management, correspondence, travel arrangements, expense reports, meeting preparation, and special projects.
- Serve as a primary point of contact for internal and external stakeholders, handling confidential and time-sensitive matters with professionalism and discretion.
- Prepare complex documents, reports, presentations, meeting materials, minutes, contact lists, and follow-up items to support executive decision-making.
- Anticipate the CEO’s needs, prioritize requests, troubleshoot scheduling conflicts, and ensure the CEO is prepared for meetings, conferences, and commitments.
- Support strategic administrative projects, marketing or practice development activities, events, workflow coordination, and cross-functional team communication.
- Track daily expenses and prepare weekly, monthly, or quarterly reports while identifying opportunities to improve administrative processes.
Compensation and Benefits
- Salary: $85,000 per year.

Required Qualifications and Skills
- Provide high-level executive administrative support to the President and CEO.
- Manage executive calendars, meeting preparation, travel, correspondence, expenses, and confidential communications.
- Prepare reports, presentations, documents, minutes, and materials for leadership meetings and external partners.
- Support special projects, events, marketing-related activities, and cross-functional workflow coordination.
- College degree required.
- Minimum of 10 years of related experience required, preferably in an executive support role.
- Experience as an Executive Assistant, Personal Assistant, or similar high-level administrative role.
- Strong proficiency with Microsoft Office Suite required, with advanced skills preferred.
- Experience with desktop publishing software.
- Excellent written and verbal communication skills.
- Outstanding organizational, time management, prioritization, and follow-up skills.
- Ability to work independently and collaboratively within cross-functional teams and diverse communities.
- Strong judgment, discretion, confidentiality, and professionalism when handling sensitive information.
- Ability to adapt quickly, switch priorities as needed, and thrive in an intense, do-it-yourself, start-up-style environment.
- Strong problem-solving and analytical skills, including the ability to identify process improvement opportunities.
- Ability to execute work with a diversity, equity, and inclusion lens.
- Must be legally authorized to work in the United States on a full-time basis upon hire.
- Must have a valid driver’s license.
- Ability to sit for prolonged periods while working on a computer and lift up to 15 pounds at times.
Preferred Qualifications
- Prior experience in the nonprofit sector or a strong desire to work in a mission-driven nonprofit environment.
- Experience supporting a President, CEO, Executive Director, or other senior-level executive.
- Professional services environment experience preferred.
- Advanced Microsoft Office Suite skills.
- Experience supporting events, marketing materials, community initiatives, or partner engagement activities.
