We are seeking a detail-oriented Document Imaging Coordinator for a contract opportunity in Novato, CA within the financial services industry. This role is ideal for an experienced administrative support professional with a strong background in banking document management, imaging systems, records retention, and compliance-focused workflows.
As a Document Imaging Coordinator, you will help ensure critical banking documents are accurately imaged, archived, retrieved, and maintained in accordance with internal procedures and regulatory standards. This position offers the opportunity to work in a professional, team-oriented environment where accuracy, reliability, and process improvement are highly valued. You will partner with internal departments, support audit and compliance needs, and contribute to the efficient operation of document management systems in a stable and highly regulated banking setting.
Key Responsibilities
- Manage document imaging, archiving, retrieval, indexing, and quality control processes.
- Monitor daily document workflow to ensure production deadlines, accuracy standards, and compliance requirements are met.
- Maintain document storage, COLD reports, statements, offsite records, and related records management processes.
- Support document management projects, system enhancements, testing, and process improvement initiatives.
- Partner with internal teams to resolve document issues, support audits, and improve operational efficiency.
- Provide technical and operational support related to document management systems and banking records.
- Manage document imaging, archiving, retrieval, and records management activities in a banking environment.
- Support document management system operations, enhancements, reporting, and workflow improvements.
- Maintain records integrity, regulatory compliance, quality control, and audit readiness.
- Coordinate with internal teams to support statement output, archival systems, and document retrieval needs.
- 3-5 years of relevant experience in document management, imaging, records management, administrative support, or banking operations.
- Experience with document management, imaging, or records management in a banking environment.
- Advanced knowledge of OnBase, Optima Archival System, or similar archival platforms.
- Working knowledge of SQL and FIS Core System.
- Familiarity with FOS Statement Output Service and banking operations.
- Strong Microsoft Office skills, including Excel, Word, Outlook, VBA, Microsoft Query, and User Forms.
- Strong attention to detail with the ability to maintain document accuracy, data integrity, and compliance standards.
- Excellent communication, organizational, analytical, and problem-solving skills.
- Ability to manage deadlines, prioritize workflow, and support multiple internal stakeholders.
Preferred Qualifications
- Prior experience supporting audit, compliance, or regulatory document requests in a financial services environment.
- Experience participating in document management system upgrades, conversions, testing, or workflow enhancement projects.
- Strong understanding of banking records retention, statement processing, archival procedures, and operational controls.
