Job Summary

We are seeking a Bilingual Spanish Admin Associate for a contract/temporary opportunity in Woodland Hills, CA within a healthcare services setting. The Bilingual Spanish Admin Associate will provide front desk, clerical, scheduling, documentation, and operational support while working closely with clinical staff, psychiatrists, and program leadership.

Key Responsibilities

- Manage incoming calls, greet visitors and clients, screen inquiries, direct callers, and handle referral calls according to established policies and procedures.
- Provide administrative, clerical, data entry, documentation, filing, financial reconciliation, and front desk support for a clinical outpatient program.
- Coordinate scheduling for psychiatrists, clinicians, doctor days, client check-ins, follow-up appointments, and other program functions.
- Support psychiatry-related administrative logistics, including appointment reminders, schedule maintenance, pharmacy correspondence, provider communication, and faxed documentation requests.
- Maintain confidential client records, upload and file documents, manage SharePoint or electronic files, prepare meeting notes, and assist with ongoing agency paperwork.
- Handle operational support tasks such as mail, petty cash, office supplies, reports, errands, local travel, office equipment, and agency vehicle log maintenance.

Required Qualifications and Skills

- Provide front desk, phone, scheduling, documentation, and administrative support for a healthcare or clinical program.
- Coordinate psychiatry and clinician schedules, client appointment reminders, follow-ups, and administrative communication with external providers.
- Maintain confidential records, client documentation, files, reports, and eligibility-related paperwork.
- Support day-to-day office operations, including supplies, mail, petty cash, office equipment, errands, and vehicle logs.

- Bilingual Spanish and English communication skills required.
- 1 to 2 years of administrative, clerical, front desk, or office support experience preferred.
- Strong confidentiality, professionalism, judgment, and discretion when handling sensitive client and healthcare information.
- Proficiency with data entry, document management, scheduling, email, faxing, and general office systems.
- Ability to manage multiple priorities, respond to requests efficiently, and maintain accuracy in a busy front desk environment.
- Strong customer service skills with a kind, calm, and respectful approach to clients, visitors, staff, and community partners.
- Ability to take meeting notes, create documents, maintain files, and follow established policies and procedures.
- Willingness to complete local errands and support basic operational needs as assigned.

Preferred Qualifications

- Prior experience in healthcare services, behavioral health, mental health, outpatient clinics, nonprofit programs, or social services.
- Experience verifying Medi-Cal eligibility or assisting with patient financial information forms.
- Familiarity with SharePoint, electronic filing systems, client records, or healthcare documentation workflows.
- Experience coordinating provider schedules, pharmacy correspondence, or external medical provider communications.
