Job Summary

We are seeking a detail-oriented Bid Coordinator for a temporary opportunity supporting K-12 construction and public works projects in Mira Loma, CA. This role is ideal for a construction administration, proposal, or estimating support professional who enjoys organizing deadlines, managing bid documentation, coordinating with subcontractors, and helping project teams submit accurate, compliant proposals.

The Bid Coordinator will work closely with preconstruction, estimating, and project management teams in a fast-paced construction environment. Key Responsibilities

- Monitor and track K-12 school district bidding opportunities, RFQs, RFPs, addenda, and proposal deadlines.
- Maintain bid calendars, proposal schedules, bid logs, databases, and organized electronic files.
- Prepare, assemble, and review bid packages, qualification statements, compliance forms, and proposal submissions.
- Coordinate required documentation, including certifications, licenses, bonds, insurance, and public works compliance materials.
- Solicit subcontractor and supplier participation, distribute bid documents, track quotes, and support follow-up communication.
- Assist estimating and project management teams with documentation, contract execution, and project turnover materials after award.

Required Qualifications and Skills
- Coordinate bid preparation and proposal submissions for K-12 construction and public works projects.
- Track bid opportunities, deadlines, addenda, subcontractor participation, and required compliance documentation.
- Support estimating, preconstruction, and project management teams with organized bid files and accurate documentation.
- Assist with subcontractor outreach, quote tracking, bid package assembly, and post-award turnover documentation.

- 1+ year of experience in public works, bid coordination, proposal management, estimating support, construction administration, or a related role.
- Familiarity with public works contracting procedures, compliance requirements, and construction bid processes.
- Experience using Microsoft Office Suite, including Word, Excel, Outlook, and document management tools.
- Ability to manage multiple deadlines while maintaining accuracy, organization, and attention to detail.
- Strong written and verbal communication skills for coordinating with internal teams, subcontractors, suppliers, and public agencies.
- Ability to maintain bid logs, proposal schedules, electronic files, and documentation in a clear and consistent manner.

Preferred Qualifications
- Experience with K-12 construction, educational facilities, school district procurement, or California public works projects.
- Familiarity with construction management and bid platforms such as BuildingConnected, PlanetBids, Procore, e-Builder, BidNet, SmartBid, or ConstructConnect.
- Understanding of California public contracting processes, public agency requirements, and school district bid documentation.
- Prior experience supporting estimating or preconstruction teams on industrial facilities, infrastructure, or public sector construction projects.
