Key Responsibilities

- Provide administrative support to project managers, leadership, and office teams to help keep daily operations and construction projects on track.
- Manage incoming calls, emails, correspondence, meeting coordination, calendars, appointments, and project-related schedules.
- Prepare, organize, and maintain project documentation, contracts, files, records, spreadsheets, and internal reports.
- Process invoices, purchase orders, expense reports, and related administrative paperwork with accuracy and attention to detail.
- Coordinate with vendors, subcontractors, clients, and internal team members to support project communication and documentation needs.
- Assist with onboarding, data entry, office organization, and general administrative processes.

Required Qualifications and Skills

- Support project managers and leadership teams with administrative coordination and project documentation.
- Manage office communication, scheduling, data entry, records, invoices, purchase orders, and expense reports.
- Coordinate with vendors, subcontractors, clients, and internal teams to support construction project workflows.

- 2+ years of administrative experience, preferably in construction, engineering, or a related industry.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong organizational skills with excellent attention to detail and documentation accuracy.
- Ability to manage multiple priorities, meet deadlines, and adapt in a fast-paced office environment.
- Professional communication, customer service, and follow-up skills.
- High school diploma required.

Preferred Qualifications

- Associate's or bachelor's degree preferred.
- Experience with construction software, ERP systems, or project management platforms is a plus.
- Prior experience supporting project managers, subcontractor communication, contracts, purchase orders, or construction documentation is preferred.
