Responsibilities
Answer and direct incoming phone calls professionally and courteously
Provide excellent customer service to clients and internal team members
Perform data entry with a high degree of accuracy (35+ WPM preferred)
Organize, maintain, and compile office documents and records
Prepare and process shipping and distribution documentation
Review and manage complex shipping and distribution lists in Excel
Ensure accurate execution and tracking of shipments
Utilize shipping and operational systems to support daily workflow
Assist with general administrative and clerical duties as needed
Communicate effectively through phone, email, and web-based platforms
Qualifications
High School Diploma or GED required
1–2 years of customer service, billing, administrative, or clerical experience preferred
Strong proficiency in Microsoft Word and Microsoft Excel
Excellent verbal and written communication skills
Strong organizational skills and attention to detail
Basic math skills
Ability to multitask and prioritize in a deadline-driven environment
Ability to work effectively with coworkers and clients
Shipping and receiving experience is a plus, but not required
Bilingual Spanish is required
Reliable transportation and strong attendance record required

Required Qualifications and Skills
- Assemble benefits enrollment packets and support related administrative processing.
- Perform accurate data entry, scanning, copying, and electronic document handling.
- Answer phones and provide backup receptionist coverage using a multiline phone system.
- Process outgoing mail using Pitney Bowes equipment.
- 1 to 2 years of administrative, clerical, or office support experience.
- Experience answering phones using a multiline phone system.
- Proficiency with Office 365, especially Outlook and Word.
- Basic Excel skills for light data entry.
- High school diploma required.
- Strong attention to detail and ability to follow established processes.
- Reliable attendance and punctuality.
- Professional communication skills and a customer-service mindset.
Preferred Qualifications
- Experience supporting benefits enrollment, HR-related paperwork, or similar document-heavy administrative processes.
- Prior experience with Pitney Bowes mailing systems or office mailing equipment.
- Comfortable working in a fast-paced office environment with shifting administrative priorities.
