Job Summary

A mission-driven nonprofit organization in Burbank, CA is seeking an Administrative Assistant for a full-time, direct hire opportunity. The Administrative Assistant will work closely with the Executive Director and core staff across administration, operations, finance, human resources, communications, development, events, and volunteer coordination. Key Responsibilities

- Support daily office operations, including answering phones, greeting visitors, managing mail, ordering supplies, maintaining calendars, entering data, and coordinating office logistics.
- Assist the Executive Director with calendar management, meeting agendas, note-taking, scheduling, event support, and general administrative tasks.
- Coordinate event-related administrative needs, including fundraising events, board events, raffles, silent auctions, donor correspondence, refreshments, check-in support, and volunteer coordination.
- Provide administrative support to finance, operations, human resources, development, and communications teams, including internal requests, documentation, reports, and process updates.
- Help manage office space, facilities, vendors, contractors, supplies, in-kind donations, and general operational workflows.
- Support communications-related tasks such as website updates, flyers, donor thank-you correspondence, social media support, analytics, and intranet content coordination.

Compensation and Benefits

- Salary range: $37,440 to $47,840 per year.

Required Qualifications and Skills

- Provide administrative support across office operations, executive support, events, communications, volunteer coordination, and department projects.
- Manage calendars, schedules, meeting notes, office supplies, vendor coordination, mail, data entry, and general workflow support.
- Assist with fundraising events, donor communications, volunteer onboarding, and event logistics.
- Support cross-functional teams including finance, operations, human resources, development, and communications.

- 1 to 2 years of administrative, clerical, office coordination, or related support experience.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, calendars, and ongoing projects.
- Professional communication skills with the ability to interact effectively with staff, visitors, vendors, volunteers, donors, schools, and community partners.
- Proficiency with common office technology, including email, calendars, spreadsheets, documents, databases, and general administrative systems.
- Detail-oriented approach to data entry, documentation, correspondence, scheduling, and office procedures.
- Ability to maintain confidentiality and provide dependable support to leadership and internal teams.
- Positive, collaborative, and mission-focused attitude with a willingness to assist wherever needed.

Preferred Qualifications

- Experience working in a nonprofit, charitable organization, education-focused organization, or community-based environment.
- Experience supporting fundraising events, donor correspondence, raffles, auctions, or board-related activities.
- Familiarity with volunteer coordination, onboarding, scheduling, or community event support.
- Experience assisting with website updates, social media, communications analytics, flyers, or internal portal content.
- Exposure to basic finance, operations, human resources, or development administrative support.
