Hampton, VA - Our client is seeking an organized and proactive Admin Program Coordinator for a contract/temporary opportunity in Hampton, VA. This role provides essential administrative, program, event, and community support within a government and public sector environment.
The Admin Program Coordinator will help keep programs, meetings, events, vendor activities, and stakeholder communications running smoothly. Key Responsibilities
- Prepare and distribute meeting agendas, minutes, reports, and other materials for committee, board, and organizational meetings.
- Manage scheduling, reminders, follow-ups, calendars, committee rosters, attendance records, and organizational files.
- Coordinate meetings and events, including logistics, room setup, catering, food delivery, venue arrangements, promotion, and day-of support.
- Support program operations by tracking sponsorships, grants, project timelines, vendor services, contracts, and event-related deliverables.
- Prepare the monthly newsletter for printing, mailing, bulk mail preparation, and distribution.
- Serve as a point of contact for district businesses, residents, vendors, and stakeholders by responding to inquiries and providing information and resources.

Required Qualifications and Skills
- Coordinate administrative support for committee meetings, board meetings, calendars, records, and organizational communications.
- Support district events, program logistics, sponsorship tracking, grants, newsletters, and vendor coordination.
- Serve as a reliable point of contact for businesses, residents, vendors, contractors, and community stakeholders.
- Bachelor’s degree in Business Administration, Event Management, or a related field, or equivalent experience.
- 2-3 years of experience in administrative support, event coordination, or program management.
- Proficiency with Microsoft Office, including Excel, PowerPoint, and Word.
- Experience using Google Drive and Zoom.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Strong interpersonal skills with the ability to work professionally with committees, vendors, stakeholders, businesses, and community members.
- Ability to meet deadlines efficiently and support time-sensitive projects and events.
Preferred Qualifications
- Experience with graphic design tools such as Canva or Adobe Creative Suite.
- Prior experience supporting public sector, nonprofit, district, community, or stakeholder-focused programs.
- Experience assisting with newsletters, bulk mail preparation, event promotion, or community communications.
