Administrative Assistant
Our company is a leading provider of fire protection and life safety services, specializing in the design, installation, service, and inspection of fire sprinkler, fire alarm, and other life safety systems. We are currently expanding our service operations at our Brea, CA office and are seeking a reliable, organized, and detail-oriented Administrative Assistant to support our team.
This position is ideal for someone with strong administrative and organizational skills who can manage multiple priorities, communicate effectively with internal teams and customers, and work independently with minimal supervision. Experience in construction, service, or a similar industry is a plus but not required.
Minimum Qualifications:
• 1+ year of experience in an administrative, office, customer service, or related role.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office, particularly Excel and Outlook.
• Ability to create and maintain spreadsheets and perform basic Excel functions and formulas.
• Strong organizational and time-management skills with excellent attention to detail.
• Ability to manage multiple tasks and priorities in a fast-paced environment.
• Self-motivated and able to work independently with limited supervision.
• Strong customer service and interpersonal skills.
• Ability to work effectively as part of a team.
Preferred Qualifications:
• Previous experience in construction, service, manufacturing, or a similar industry.
• Experience with accounting, billing, work orders, scheduling, or dispatching.
• Experience using accounting or ERP software such as Microsoft Dynamics GP (Great Plains).

Responsibilities:
• Provide general administrative and clerical support to the office and service team.
• Organize and maintain files, records, documents, and other office information.
• Manage and process paperwork, work orders, reports, and other documentation.
• Assist with scheduling and coordinating service appointments and field personnel.
• Communicate with field employees, customers, vendors, and internal departments to obtain information and follow up on outstanding items.
• Review and track work orders, reports, contracts, and billing-related documents for accuracy and completeness.
• Prepare and maintain reports, spreadsheets, and other administrative documents.
• Enter and update information in company systems and accounting software.
• Monitor the status of projects, work orders, and administrative tasks to ensure timely completion.
• Assist with invoicing, billing, and other accounting-related administrative tasks as needed.
• Utilize Microsoft Office, including Excel and Outlook, for daily administrative tasks.
• Perform other general office and administrative duties as assigned.
