Union Payroll Specialist

Job Summary:

This individual will help oversee and manage the payroll process for a large and diverse workforce, ensure compliance with all applicable labor laws and regulations, and support the day-to-day operations of the payroll function. The Payroll Administrator will play a key role in processing accurate payroll for hourly, salaried, and unionized employees, as well as addressing any payroll-related inquiries or issues.

Key Responsibilities:

· Payroll Processing: Complete in-house weekly payroll for all salaried employees, ensuring proper deductions and taxes are applied. Verify additional payrolls of hourly and union employees.

· Reconciliation and Corrections: Verify payroll deductions, benefits and accruals against general ledger postings. Identify and resolve discrepancies in a timely and accurate manner.

· Garnishments: Manage wage garnishments, including child support, tax levies and other court-ordered deductions. Ensure accurate calculation and timely payment.

· Union Compliance: Assist with both the validation of annual rate changes and the preparation, review and submission of applicable union reports. Ensure timely and accurate remittance of union dues, benefits and contributions.

· Audit Support: Help with internal and external audits related to payroll processing and ensure accurate record-keeping for audit purposes.

· Employee Communication: Address employee payroll inquiries, resolve discrepancies, and ensure a high level of customer service while maintaining strict confidentiality regarding payroll matters.

· Year-End Processing: Assist with year-end processing, including W-2 preparation and distribution, and ensuring tax reporting compliance.

Required Skills & Qualifications:

· Five years of experience in payroll administration

· Knowledge of federal and multi-state payroll laws, including wage and hour compliance

· Excellent attention to detail and organizational skills

· Strong analytical and problem-solving skills

· Proven capability to handle sensitive employee and payroll information with confidentiality

· Effective written and verbal communication skills to interact with employees, managers and government agencies

· Ability to work under pressure and meet deadlines

· Demonstrated ability to work collaboratively within a team environment

· Proficient in Microsoft Excel and other relevant tools and systems

· High school diploma or completed GED

Preferred Skills and Qualifications:

· Experience handling union payroll and multi-state payroll

· Work experience in construction or similar industry

· Experience with Sage 300

· Associate degree or higher
