Seeking a full-time Legal Secretary with a minimum of five years’ legal secretarial experience specifically in transactional law, including real estate, contracts, and corporate transactions such as mergers and acquisitions.
Responsibilities:
• Draft, edit, proofread, and finalize legal documents including contracts, sales agreements, and closing documents.
• Assist with all aspects of transactional closings (reviews, signature packets, document finalization, and distribution).
• Maintain organized client files and prepare closing binders and indexes.
• File and order corporate and real estate documentation with relevant agencies.
• Coordinate meetings, manage attorney calendars, and schedule appointments.
• Handle client intake and ensure conflict check procedures are followed.
• Process expense reports, timesheets, and travel arrangements.
• Support attorney billing, collections, and invoice correspondence.
• Perform notarial acts (must hold or be willing to obtain a Notary Public commission).
• Collaborate with attorneys, fellow secretaries, and other firm departments to deliver high-quality legal support.
Qualifications:
• Minimum 5 years of legal secretarial experience in transactional law.
• Proven experience handling contracts, real estate transactions, and corporate legal matters.
• Excellent attention to detail and high-level proofreading skills.
• Strong verbal and written communication abilities.
• Ability to manage multiple tasks and work under deadlines.
• Proficiency with Microsoft Office and legal document management software.
• Experience with BigHand or similar workflow tools preferred.
• Current Notary Public commission or willingness to obtain one.
