Job Summary

We are seeking a detail-oriented Subscription Document Specialist for a direct hire opportunity in New York, NY within the financial services industry. This role is ideal for a documentation, investor onboarding, or private funds professional with strong experience reviewing subscription agreements, AML documentation, tax forms, and related private fund materials.

The Subscription Document Specialist will support investor onboarding by ensuring subscription documents are accurate, complete, properly categorized, and processed through key platforms such as Anduin and Appian. This position offers the opportunity to work in a professional, collaborative environment with exposure to private wealth management operations, fund launches, system enhancements, process improvement, and cross-functional stakeholder coordination.

Key Responsibilities

- Review, intake, categorize, and validate subscription agreements, side letters, AML documents, tax forms, and related private fund documentation.
- Maintain accurate status trackers, communication logs, issue trackers, and onboarding documentation to support transparency and timely follow-up.
- Enter and manage data within Anduin, Appian, and related document management or collaboration systems in accordance with established standards and checklists.
- Prepare, collate, and execute final document packages for investor onboarding while responding to customer inquiries in a clear and timely manner.
- Coordinate with internal teams, offshore partners, key stakeholders, and legal counsel when required to resolve documentation or onboarding issues.
- Support new fund launches, bug fixes, enhancement releases, system updates, document migrations, reporting, dashboards, and process improvement initiatives.

Compensation and Benefits

- Salary range: $85,000 to $110,000 per year.

Required Qualifications and Skills

- Review and manage private fund subscription documents, AML forms, tax forms, side letters, and investor onboarding packages.
- Maintain onboarding trackers, communication logs, issue trackers, and documentation status updates.
- Execute test scripts for new fund launches, system enhancements, bug fixes, and project-related initiatives.
- Support documentation governance, workflow standardization, reporting, and process improvement efforts.

- Bachelor’s degree in Business Administration, Finance, or a related field.
- 5+ years of hands-on experience in documentation management, drafting, content governance, subscription review, investor onboarding, or related financial services operations.
- Strong knowledge of subscription review processes and private wealth management operations.
- Experience working with Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Experience with SharePoint, Confluence, document management systems, or similar collaboration platforms.
- Strong analytical, problem-solving, organizational, and multitasking skills.
- High level of accuracy, attention to detail, and commitment to quality.
- Ability to communicate proactively with internal teams, stakeholders, offshore teams, and customers.
- Ability to manage multiple priorities in a fast-paced financial services environment.

Preferred Qualifications

- Prior working knowledge of Anduin and Appian.
- Familiarity with regulatory requirements in the financial services industry.
- Experience with project management tools and software.
- Knowledge of data analysis, reporting tools, dashboards, and documentation system reporting.
- Experience supporting digital transformation initiatives, document migration, workflow improvement, or documentation governance projects.
