Site Manager – Digital Conversion & Archiving Operations

?? Orlando, Florida

We are seeking a hands-on Site Manager to oversee the daily digital conversion and records archiving operations for our Orlando facility. This individual will lead production workflows, ensure quality and compliance standards are maintained, manage confidential records securely, and supervise a team of scanning specialists in a fast-paced production environment. This is an excellent opportunity for someone who enjoys building processes, improving operational efficiency, and helping grow a developing site operation.

Core Responsibilities
Operations & Production Management
Oversee end-to-end document scanning operations including:
Document intake
Preparation and batching
High-volume scanning
Indexing and metadata entry
Quality assurance review
Develop and manage daily and weekly production schedules to ensure all client deadlines and turnaround times are achieved.
Monitor performance of production scanners, imaging systems, and related IT equipment.
Coordinate maintenance and repairs to minimize operational downtime and maintain workflow continuity.
Track operational productivity and identify opportunities for process improvement and increased efficiency.
Quality Control & Security Compliance
Conduct routine audits of scanned images and indexed files to ensure:
Image clarity and readability
Accurate indexing and metadata
Compliance with internal quality standards
Enforce strict confidentiality and security procedures for sensitive records and client data.
Ensure compliance with applicable regulations and standards, including HIPAA, GDPR, and chain-of-custody protocols.
Maintain secure handling, storage, and transfer procedures for physical and digital documents.
Team Leadership & Client Relations
Recruit, train, coach, and supervise scanning and records personnel.
Establish productivity goals and monitor employee performance.
Conduct performance evaluations and foster a collaborative, high-efficiency team environment.
Serve as the primary on-site contact for clients regarding project updates, timelines, and issue resolution.
Maintain strong client relationships through responsive communication and professional service delivery.
Qualifications & Skills
Required Qualifications
1–3 years of supervisory or management experience in:
Document scanning
Digital imaging
Records management
Data conversion or similar production environments
Strong computer and technical proficiency, including:
Microsoft Office Suite (especially Excel)
Adobe Acrobat
Document management systems such as Laserfiche or SharePoint
Excellent organizational, multitasking, and problem-solving skills.
Strong attention to detail and commitment to accuracy and quality control.
Ability to work effectively in a deadline-driven production environment.
Preferred Qualifications
Experience managing high-volume scanning operations.
Knowledge of document retention policies and compliance standards.
Familiarity with workflow optimization and production tracking metrics.
Physical Requirements
Ability to sit or stand for extended periods of time.
Ability to routinely lift and transport boxes weighing approximately 30–40 pounds.
Comfortable working in a production and records-handling environment.
