Job Summary

We are seeking a highly organized and proactive Senior Administrative Assistant to provide executive-level administrative support to a Project Executive within a fast-paced construction environment. This role is critical to the success of project operations and requires strong construction industry knowledge, exceptional attention to detail, and the ability to manage multiple priorities with discretion and professionalism.

Key Responsibilities

Provide direct administrative support to the Project Executive, including calendar management, meeting coordination, and travel arrangements

Prepare, edit, and manage construction-related documents such as contracts, subcontracts, change orders, RFIs, submittals, and meeting minutes

Coordinate internal and external meetings with owners, architects, subcontractors, and project teams

Track project documentation, deadlines, and action items to ensure timely follow-up

Assist with bid preparation, proposal assembly, and preconstruction documentation

Maintain organized electronic and physical filing systems in accordance with company standards

Support project financial administration, including invoice tracking, cost reports, and budget documentation

Serve as a point of contact for internal teams and external partners on behalf of the Project Executive

Handle confidential and sensitive information with discretion

Support additional executives or project teams as needed

Required Qualifications

Minimum 5–7 years of administrative experience, preferably in construction, engineering, or real estate development

Prior experience supporting senior-level executives or project leadership

Strong working knowledge of construction terminology, documentation, and workflows

Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)

Experience with construction management software (e.g., Procore, Bluebeam, Viewpoint, or similar) preferred

Excellent written and verbal communication skills

Exceptional organizational and time-management skills

Ability to manage competing priorities in a deadline-driven environment

Preferred Qualifications

Associate’s or Bachelor’s degree

Experience working for a General Contractor

Familiarity with contract administration and compliance documentation

Experience supporting large-scale commercial or infrastructure projects
