Job Description:
The Senior Assistant Commercial Property Manager will be supporting the Property Manager with their daily duties. This individual will assist with lease administration, collections, invoicing, reporting, and serve as a key liaison between tenants and ownership. The ideal candidate is organized, proactive, and thrives in a fast-paced environment.
Key Responsibilities:
Lease Administration:
• Prepare lease amendments, assignments, and related documentation.
• Draft tenant communications and memorandums.
• Abstract lease data and enter into Yardi for management review.
• Set up and maintain accurate tenant files and lease documentation.
• Identify Lessor/Lessee responsibilities per lease terms.
• Manage key lease dates and ensure system accuracy.
Tenant Improvements & Signage Approvals:
• Coordinate submission and approval of tenant improvement plans.
• Prepare building signage approval packages.
• Process TI allowances upon owner approval.
Accounting & Financials:
• Assist with security deposit reconciliations.
• Support tenant account reconciliations.
• Help prepare annual budgets and CAM reconciliations.
• Monitor rent collections and follow up on delinquencies.
• Assist with legal documentation for tenant defaults.
• Review and approve coded invoices.
General Administration:
• Prepare tenant welcome packets and walk-through forms.
• File and maintain key documentation.
• Support executive staff and other Property Managers as needed.
• Serve as point of contact for tenants in the absence of Property Manager(s).
• Assist in preparing monthly management reports.
Qualifications:
• Minimum 3 years of commercial property management experience.
• At least 2 years as an Assistant Property Manager (Commercial).
• Working knowledge of commercial leases.
• High school diploma or equivalent required; further education a plus.
• CA DRE license preferred but not required.
• Proficient in Microsoft Word, Excel, and Adobe; Yardi experience preferred.
• Familiarity with AIR CRE Contracts is a plus.
• Strong written communication and organizational skills.
• Detail-oriented and able to handle multiple projects.

Preferred Experience & Licenses:
• Commercial Property Management: 4+ years (Preferred)
• Assistant Property Manager: 3+ years (Preferred)
• Valid Driver’s License (Preferred)
• CA DRE License (Preferred)
