This position plays a key role in ensuring smooth daily office operations, managing scheduling tasks, supporting front desk functions, and handling a wide variety of administrative and logistical responsibilities.
Key Responsibilities:
Manage and maintain office and conference room scheduling
Greet clients and escort them to meetings or appointments
Handle all incoming mail, packages, and faxes; scan and distribute as necessary
Monitor and forward general voicemail messages to the appropriate recipients
Prepare and distribute daily and weekly internal scheduling diaries
Maintain a clean, organized, and welcoming reception area, conference rooms, and common spaces
Coordinate food orders for attorney lunches and prepare UPS labels for outgoing shipments
Deliver and pick up mail from USPS and other courier services
Communicate office closures to delivery services
Perform business-related errands (courthouses, hospitals, post office, bank, etc.)
Support legal assistants and paralegals during downtime
Return and organize files and binders
Decorate reception area for holidays and special occasions
Assist with additional office services and duties as assigned
Key Skills & Qualifications:
Minimum 2 years of professional office experience
Proficient in Microsoft Office (Outlook, Word) and standard office technology (copiers, scanners, faxes)
Strong interpersonal and communication skills
Highly organized with strong attention to detail
Ability to handle multiple tasks and prioritize effectively
Dependable, punctual, and professional in appearance and conduct
Comfortable working under pressure and in sensitive situations
Ability to maintain strict confidentiality
