Scheduling & Office Coordinator
Location: Onsite Schedule: Monday to Friday, 8:00 AM – 4:30 PM (37.5 hours/week)
Pay: $19–$22/hour
Overview: We are hiring an experienced dependable Office Coordinator to handle scheduling tasks and keep day-to-day operations running smoothly. This role involves managing calendars, supporting team members, and coordinating general office functions.
Key Responsibilities:
• Oversee scheduling and daily calendar management
• Greet clients and assist with conference room coordination
• Handle incoming and outgoing mail, faxes, and deliveries
• Maintain cleanliness and organization of common areas
• Scan and distribute documents, prepare UPS shipments
• Place lunch orders and decorate for holidays
• Run occasional errands (courthouse, bank, post office, etc.)
• Support team during downtime and handle miscellaneous tasks
• Communicate office closures to service providers
Qualifications:
• Minimum two years of office experience
• Proficiency in Microsoft Outlook and Word
• Familiarity with scanners, copiers, fax machines
• Strong organizational and communication skills
• Ability to prioritize and handle multiple tasks calmly and efficiently
• Must be punctual, dependable, and flexible
• Valid NYS driver’s license and reliable transportation required
Additional Requirements:
• Clear spoken English and professional appearance
• Ability to lift up to 20 lbs, use basic office tools (ladder, cart)
• Comfortable with repetitive movement and shelving tasks
