Scheduling Coordinator – Outpatient Clinic

Required Qualifications:
High School Diploma or GED
Experience with EPIC or FAST systems
Minimum 1 year of recent experience in an outpatient clinic or medical office setting
Ability to read, understand, and respond to detailed oral and written instructions
Preferred Qualifications:
2+ years of recent experience in large-scale staff and physician scheduling
Certification in healthcare administration or scheduling
Strong understanding of medical terminology
Experience with UKG (Kronos)
Primary Duties and Responsibilities:
Develop and maintain comprehensive staff and provider schedules, ensuring coverage for all clinic shifts
Enter, update, and adjust schedules in UKG (Kronos) to reflect real-time staffing changes
Monitor staffing levels and address last-minute changes promptly (illnesses, emergencies, volume changes)
Ensure scheduling compliance with policies, labor laws, and departmental guidelines
Publish schedules regularly and communicate changes clearly and in advance
Coordinate weekend and holiday staffing with fair rotating schedules
Process time-off requests, verify eligibility, and obtain necessary approvals
Update schedules for approved time off and arrange coverage as needed
Track attendance and availability; report concerns to management
Collaborate with HR and Payroll to reconcile schedules with recorded time off
Perform routine audits of schedules for accuracy and compliance
Monitor adherence to work-hour limits, overtime rules, and departmental policies
Prepare and present staffing reports using UKG, Excel, or Tableau
Recommend process improvements based on audit findings and operational feedback
