About the Role:
We are seeking a detail-oriented, proactive Scheduling Coordinator to support our outpatient clinic operations. This role ensures accurate staffing, smooth daily workflows, and consistent communication between providers, staff, and leadership. Required Qualifications:
High School Diploma or GED
Experience with EPIC or FAST systems
Minimum 1 year of recent experience in an outpatient clinic or medical office setting
Ability to read, understand, and respond to detailed oral and written instructions


Preferred Qualifications:
2+ years of recent experience in large-scale staff and physician scheduling
Certification in healthcare administration or scheduling
Strong understanding of medical terminology
Experience with UKG (Kronos)


Primary Duties and Responsibilities:
Develop and maintain comprehensive staff and provider schedules, ensuring full coverage for all clinic shifts
Enter, update, and adjust schedules in UKG (Kronos) to reflect real-time staffing changes
Monitor daily staffing levels and respond promptly to last-minute changes (illnesses, emergencies, volume fluctuations)
Ensure scheduling compliance with organizational policies, labor laws, and departmental guidelines
Publish schedules on a regular cadence and communicate all changes clearly and in advance
Coordinate weekend and holiday staffing using fair, equitable rotation practices
Process time-off requests, verify eligibility, and obtain required approvals
Update schedules for approved time off and arrange coverage as needed
Track attendance, availability, and reliability; escalate concerns to management when necessary
Collaborate with HR and Payroll to reconcile schedules with recorded time-off and payroll records
Conduct routine scheduling audits to ensure accuracy, compliance, and completeness
Monitor adherence to work-hour limits, overtime rules, and departmental policies
Prepare and deliver staffing reports using UKG, Excel, or Tableau
Recommend process and workflow improvements based on audit findings and operational needs
