Job Summary:

We are seeking a detail-oriented Sales Administrator for a direct hire opportunity in Costa Mesa, CA. This role supports assigned sales representatives with order processing, customer quotes, customer communication, account updates, and sales administration tasks that help keep the sales and operations workflow running smoothly.

Key Responsibilities:

- Process customer orders accurately in NetSuite for assigned sales representatives, reviewing purchase orders and instructions for completeness and accuracy.
- Prepare and revise customer quotes, follow up on quote requests, and clarify product, quantity, and specification details when needed.
- Communicate professionally with customers regarding order acknowledgements, ship dates, backorder ETAs, tracking information, and order status updates.
- Coordinate with Sales, Operations, and internal teams to resolve order issues, manage workload priorities, and ensure timely follow-through.
- Process Return Authorization requests after internal approval and keep customers informed throughout the return process.
- Maintain customer and contact records, support account updates, assist with sales-related projects, and use approved tools to improve workflow accuracy and efficiency.

Additional Skills

Required Qualifications and Skills:

- Process sales orders, customer purchase orders, acknowledgements, and order status updates with a high level of accuracy.
- Prepare customer quotes, assist with quote revisions, and support sales representatives with account administration.
- Coordinate customer order communication, Return Authorization processing, and follow-up with internal teams.
- Maintain customer data and support sales workflow using ERP, CRM, Microsoft Office, and approved AI-assisted tools.
- 3 to 5 years of experience in sales administration, sales support, order processing, customer service, or a related role.
- Strong attention to detail with proven ability to process orders quickly and accurately.
- Proficiency with NetSuite or another ERP/CRM system, with NetSuite strongly preferred.
- Strong Excel skills, including formulas, sorting and filtering, pivot tables, lookups, and structured data.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams.
- Comfortable learning and using approved AI tools, including Claude, to support drafting, organization, research, workflow efficiency, and communication.
- Clear written and verbal communication skills with a professional, customer-focused approach.
- Strong organizational, prioritization, and time-management skills.
- Ability to ask clarifying questions, manage multiple tasks, and follow through consistently.
- High accountability for accuracy, responsiveness, and customer communication.

Preferred Qualifications:

- Experience supporting sales representatives in a distribution, manufacturing, technology, or product-based business environment.
- Prior experience preparing customer quotes and interpreting product, quantity, and specification requirements.
- Familiarity with return authorization processes, account maintenance, and customer contact research.
- Demonstrated ability to work across Sales, Operations, and Customer Support teams in a fast-paced environment.
