Senior Payroll Administrator

Job Summary
We are seeking an experienced Senior Payroll Administrator to oversee the accurate and timely processing of payroll while ensuring full compliance with federal and state regulations. This role is responsible for payroll funding, reconciliation, reporting, and system optimization, and serves as a subject matter expert collaborating closely with HR, Finance, and IT teams.
Key Responsibilities
Process and manage all payroll activities, including maintaining records and reviewing payroll reports for accuracy
Prepare payroll funding and perform reconciliations related to payroll and benefits
Ensure compliance with all federal, state, and local payroll tax regulations, filings, and payments
Oversee audits related to payroll, benefits, employee changes, cost center updates, new hires, and terminations
Respond to complex payroll inquiries requiring in-depth investigation and analysis
Participate in HRIS upgrades, enhancements, patches, and testing; document and track issues and outcomes
Audit payroll and system reports post-upgrade to ensure data integrity
Develop and maintain desk manuals, process documentation, job aids, and training materials
Support benefits administration processes, including open enrollment, eligibility, deductions, and reconciliations
Required Knowledge, Skills & Abilities
Advanced working knowledge of Oracle Fusion, including payroll processing, reporting, and troubleshooting
Proven experience with ADP, including integrations and reconciliations
Extensive experience processing multi-state payroll, including tax compliance and regulatory updates
Strong understanding of payroll systems, accounting principles, and bookkeeping
Ability to identify, document, and recommend system enhancements and automation opportunities
Experience collaborating with HRIS, Finance, and IT as a payroll subject matter expert
Working knowledge of employee benefits administration, including:
Eligibility, enrollment, coverage options, and contribution calculations
Open enrollment testing, validation, and audits
Payroll-to-benefits reconciliation
Additional Skills & Competencies
Knowledge of workers’ compensation and leave administration (preferred)
Experience with retirement plans such as 401(a), 401(k), and 457(b)
Strong understanding of federal and state employment laws, IRS, DOL, SSA regulations, tax payments, and levies
Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
Excellent organizational, time management, communication, and problem-solving skills
Ability to manage deadlines while maintaining accuracy and attention to detail
Preferred Certifications
Certified Payroll Administrator
Certified Payroll Professional (CPP)
Required Experience
5+ years of direct payroll experience and/or accounting or a related field
Education
High School Diploma or GED (required)
Bachelor’s degree or 3 years of relevant experience, or an equivalent combination of education and experience
Business Administration or a related field preferred
