Job Description: Risk Management Project Specialist
Position Overview
The Risk Management Project Specialist is responsible for reviewing, analyzing, and validating Certificates of Insurance (COIs) to ensure full compliance with the company’s insurance requirements. This role plays a critical part in reducing organizational risk by verifying that vendors, contractors, and business partners maintain appropriate insurance coverage and adhere to contractual obligations. The specialist collaborates closely with internal departments and external stakeholders, identifies deficiencies, and tracks resolution to maintain compliance and mitigate exposure.

Key Responsibilities
Certificate of Insurance Review & Compliance
• Review incoming COIs from vendors, contractors, and service providers for accuracy and compliance with company insurance requirements.
• Verify coverage types, limits, endorsements, and policy dates including but not limited to:
o General Liability
o Auto Liability
o Workers’ Compensation
o Umbrella/Excess Liability
o Professional Liability (as applicable)
o Additional Insured & Waiver of Subrogation endorsements
• Identify gaps, discrepancies, or missing documentation and follow up with vendors or brokers for correction.
Risk Mitigation & Documentation
• Maintain accurate records of COIs and related correspondence within risk management systems or contract management platforms.
• Track policy expirations and proactively request renewal certificates to prevent lapses in coverage.
• Assist in assessing risk exposure related to non-compliant vendors and recommend next steps.
Stakeholder Coordination
• Communicate insurance requirements to internal stakeholders, vendors, and third parties in clear and professional terms.
• Partner with Procurement, Legal, Compliance, Safety, and Operations teams to support contract negotiations and ensure insurance language aligns with company standards.
• Provide guidance and training to internal teams on basic COI concepts and compliance expectations.
Process Improvement
• Participate in developing or refining COI review procedures, checklists, and workflows to increase efficiency and accuracy.
• Support periodic audits to ensure ongoing adherence to company insurance policies.
• Contribute to risk management reporting and metrics related to vendor compliance.

Qualifications
Required
• Experience in risk management, insurance compliance, contract administration, or related field.
• Working knowledge of insurance terminology, coverage types, and certificate requirements.
• Strong attention to detail with the ability to identify errors and inconsistencies in insurance documentation.
• Excellent communication and follow-up skills across internal and external partners.
• Ability to manage multiple tasks, deadlines, and vendor relationships simultaneously.
Preferred
• Experience working with COI tracking systems or contract management software.
• Familiarity with vendor management processes in construction, facilities, procurement, or service industries.
