Receptionist Job Summary:

Hours: M-F 7:30am - 4:30pm
Duration: 1 month

As a receptionist, you will be the first point of contact for visitors and callers. Your primary responsibility will be to ensure efficient communication between visitors, callers, and internal staff. You will handle incoming calls, greet visitors, and provide general administrative support to various departments as needed.

• Answer incoming calls, and other administrative duties as agreed upon between Energizer and vendor
• Sign for packages, greet and sign in guests and carry general administrative duties
• Create and maintain a general report to show the mailroom activities i.e., packaging counts, print jobs, phone calls answered
• Issue security badges - Ensure that all badge holders are active Energizer colleague or contractors with approved badge access
• Manage and routinely audit security database, bi-weekly with quarterly badge audit reports
• Provide data metrics on security database including but not limited to cardholder type, function, access level and etc.
• Routinely audit and report data metrics on Customer’s desk reservation platform.
• Manage and routinely audit visitor database platform. (Envoy). Provide daily and monthly data metrics
• Assign seating to colleagues as needed
• Manage and routinely audit 3rd party remote security incident reports (Net watch). Provide daily, monthly, and quarterly reporting metrics.
• Cross train with mailroom activities a minimum of once a week
• Print, fold, and stuff customer coupon distribution letters provided by Energizer in support of Customers coupon program

Reporting:
• Security Badge Reporting – RS2
• Visitor Registration – Envoy
• TMG provided Tracking Productivity Tool (Volumes)


Record Retention:
• Manage and maintain Energizer’s record and retention data base and process for 3rd party file storage.
• Prepare and issue storage labels, boxes and misc. supplies to Energizer colleagues throughout US to support Energizer’s record retention program
• Organize and arrange shipping & retrieving records from Energizer 3rd party file storage vendor (Underground Vault & Storage)
• Ensure that instructions and training materials on how to store files via 3rd Party on accurate at all times in digital and print form.
• Provide monthly metrics for offsite storage activities
• Provide quarterly metrics for offsite storage filing
