Job Title: Multi-Site Office Services Associate (Reception / Mailroom / Print)
Location: New York City, NY (Multi-site: NYC + Melville, Long Island)
Employment Type: Contract-to-Hire
Pay Rate: $21.23/hr
Schedule: Monday – Friday | Flexible shifts between 7:00 AM – 7:00 PM
Overview:
We are seeking a reliable and customer-focused Multi-Site Office Services Associate to support operations across multiple client locations in New York City and Melville, NY. This is a dynamic, customer-facing role requiring flexibility, professionalism, and the ability to adapt to different office environments.
Important:
Candidates must have a personal vehicle to commute to Melville, NY (Long Island)
Must reside near public transportation (subway) for NYC site access
Preferred locations: Queens or Bronx
Do NOT apply if residing in New Jersey or without a car
Key Responsibilities:
Provide daily support across reception, mailroom, print production, and hospitality services
Greet visitors, answer and route calls, and deliver excellent customer service
Manage mailroom operations including sorting, distribution, and shipping
Perform print production tasks (printing, binding, assembling documents)
Maintain office equipment (replenish toner/paper, clear jams)
Schedule conference rooms via Outlook and coordinate meeting setups
Support kitchen stocking, cleanliness, and general office upkeep
Communicate with clients via Microsoft Outlook, Teams, and in person
Travel between multiple sites as needed, sometimes on short notice
Qualifications:
Strong customer service and interpersonal skills
Friendly, reliable, and detail-oriented with a professional demeanor
Ability to multitask and adapt in a fast-paced environment
Microsoft 365 proficiency required
Prior experience in print production, mailroom, reception, or hospitality preferred
Law firm experience is a plus
Additional Requirements:
Must be flexible with schedule and location changes (same-day site assignments possible)
Ability to lift up to 50 lbs. and perform physical tasks (standing, walking, bending)
Willingness to undergo background check and drug screening (if required by client)
COVID vaccination not required but may be requested by specific client sites
Travel & Mileage Reimbursement:
90% of work is within NYC (accessible by public transit)
10% at Melville, NY (car required; not transit accessible)
Mileage reimbursement available for Long Island travel (based on company guidelines)
