Are you ready to take your career to the next level? We are seeking a motivated and detail-oriented individual to join our Business Operations Department Procurement Team. This is an exciting opportunity to specialize in Technology and/or Facilities procurement while supporting the Firm through effective implementation and oversight of procurement aspects.
General Purpose:
Serve as a key team member, supporting the Firm through effective implementation and oversight of procurement aspects, including services, fixtures, hardware, software, vendor management, contract review, software licensing, budget management, asset management, and procurement policy management.
Essential Functions:
Procurement: Process software and equipment requests, research and recommend purchasing options, negotiate with vendors, coordinate contract execution, and prepare Purchase Orders.
Vendor Management: Maintain vendor relationships, negotiate rates and terms, address product or billing issues, and assist in vendor selection.
End User Support: Evaluate end user software and equipment needs, create purchase requests, and manage billing for mobile device loaner equipment.
Infrastructure: Confirm infrastructure needs, review contracts and invoicing, and create purchase requests for infrastructure equipment.
Facilities: Evaluate requests for facilities, furniture, and print equipment, review contracts and invoicing, and manage billing for leases.
Telecom and Networking: Ensure proper provisioning and billing of circuits, review contracts and invoicing, and resolve billing discrepancies.
Software: Communicate software application needs, review contracts and invoicing, and create purchase requests for software applications.
Maintenance: Track equipment and software maintenance renewals, achieve warranty replacements, and perform repairs.
Invoice Processing and Reconciliation: Review invoices, reconcile receivables, resolve discrepancies, and prepare invoices for payment.
Budget Management: Review purchase requests for budget assignment, communicate budget availability, and assist in budget preparation.
Asset Management: Maintain and track asset inventory, support equipment retirement and disposal.
Team Interaction: Recommend process improvements, present information, provide cross-training, and assist team members.
Recordkeeping: Maintain organized documentation of transactions and electronic files.
Specific Skills Required:
Effective communication and organizational skills
Ability to work independently and prioritize in a fast-paced environment
Knowledge of Microsoft Word, Excel, Outlook, and Internet use
General knowledge of facilities, furniture, print equipment, IT hardware, and software
Understanding of basic contract language
Ability to interact with all levels of Firm management
Specific Skills Preferred:
Experience with ticketing, workflow, finance, and procurement systems
Functional skills with database software
Knowledge of project management processes
Familiarity with network circuit terminology and billing
Education and Experience:
Bachelor’s Degree in Business Administration, Computer Science, Accounting, or Finance
Previous experience with IT purchasing, asset management, and budgeting
