A growing transit planning and consulting firm is seeking an experienced Proposal Coordinator for a hybrid opportunity in the Carlsbad area. This role is ideal for a highly organized marketing, proposal, or business development professional who enjoys writing, editing, formatting, and coordinating strategic pursuit materials in a collaborative, deadline-driven environment.

The Proposal Coordinator will support proposals, RFQs, RFIs, statements of qualifications, presentations, and marketing communications for transit, infrastructure, and public-sector opportunities. Key Responsibilities

- Manage proposals, RFQs, RFIs, and statements of qualifications from opportunity review through final submission.
- Format, proofread, edit, and finalize proposal materials using Adobe InDesign while ensuring quality, accuracy, branding, and compliance.
- Review solicitation requirements, build pursuit schedules, coordinate deadlines, and keep proposal teams on track.
- Research RFPs and new business development opportunities within transit, infrastructure, construction, and public-sector markets.
- Coordinate business development meetings, teaming requests, partner communications, and proposal-related updates.
- Maintain proposal calendars, contact databases, staff resumes, project descriptions, and marketing collateral.

Compensation and Benefits

- Pay: $35 to $45 per hour.
- Job Type: Temp-to-hire.
- Schedule: 32 to 40 hours per week.
- Work Arrangement: Hybrid schedule.

Required Qualifications and Skills

- 5+ years of experience in proposal coordination, business development, technical writing, marketing communications, or a related field.
- Advanced proficiency with Adobe InDesign and InCopy is required.
- Proficiency with Adobe Acrobat and Microsoft Word, Excel, and PowerPoint.
- Excellent writing, editing, proofreading, formatting, and organizational skills.
- Ability to manage multiple priorities, overlapping deadlines, and detailed submission requirements.
- Strong communication skills with the ability to work independently and collaboratively with technical teams and senior leadership.
- Bachelor’s degree in Communications, Marketing, Journalism, English, or a related field preferred.

Preferred Qualifications

- Experience within transit, architecture, engineering, construction, industrial facilities, infrastructure, or AEC environments.
- Knowledge of public-sector procurement processes.
- Familiarity with FTA, Caltrans, DBE, and SBE requirements.
- Experience coordinating proposal interviews, presentations, and strategic pursuit materials.
