The Order Management / Project Coordinator supports customer service, sales, and operations by managing order processing, customer communication, project tracking, and cross-functional coordination. This role ensures smooth execution from customer request through production, shipment, and payment, acting as a key liaison between customers and internal teams.
Key Responsibilities
Order & Customer Management
- Respond to customer and internal inquiries regarding order status, invoices, and product availability
- Review and process customer orders for accuracy and completeness
- Prepare quotations and follow up on approvals
- Maintain ongoing communication with customers regarding timelines, delivery, and issue resolution
Project & Sample Coordination
- Coordinate sample development and project timelines (including color/sample requests)
- Track progress and ensure timely completion of customer and internal projects
- Support merchandising and product development initiatives
System & Order Processing
- Enter and manage orders within ERP systems (e.g., SAP or similar)
- Create and maintain Bills of Materials (BOMs)
- Determine delivery timelines based on production and logistics coordination
- Ensure system data integrity, pricing accuracy, and contract compliance
Cross-Functional Coordination
- Collaborate with Production, Quality, Logistics, and Sales teams to resolve issues
- Coordinate inspection plans and ensure proper documentation of results
- Address order discrepancies such as delays, damages, or mis-shipments
Logistics & Documentation
- Coordinate shipping details with logistics/export teams
- Prepare and verify commercial documents (invoices, packing lists, etc.)
- Ensure compliance with customer and shipping requirements
Payment & Administrative Support
- Follow up on customer payments based on agreed terms
- Assist with administrative tasks, reporting, and special projects
- Provide high-level customer service and support overall team operations
Background expectation
- Associate or Bachelor’s degree in Business, Supply Chain, Logistics, or related field
- 1–3 years of experience in order management, customer service, or coordination (preferably in manufacturing)
- Experience with ERP systems (SAP or similar)
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication skills (English required; Spanish or Chinese a plus)
- Customer-focused mindset with problem-solving ability
