Pay Rate: $31.70 to $33.65 per hour

Position Overview
The Project Support Specialist provides critical administrative and operational support for the LADWP Commercial Direct Install Program, supporting energy efficiency projects from customer engagement through installation completion. This role is ideal for someone who is highly organized, detail-oriented, and comfortable juggling multiple priorities in a fast-paced, collaborative environment. The program works closely with union labor and subcontractors, so candidates with exposure to certified payroll or union projects are strongly preferred.
This is a highly visible, customer-facing role that requires daily phone and email communication with customers, subcontractors, and internal teams. The team is lean and collaborative, and this position requires flexibility, initiative, and a willingness to jump in wherever support is needed.
Key Responsibilities:
Provide day-to-day administrative and operational support for multiple active projects
Perform data entry, project setup, scheduling, and documentation management
Support Energy Service Representatives and Field Coordinators with project tracking and updates
Conduct quality control checks on project files prior to client submission
Verify customer eligibility and coordinate site visits and installation appointments
Communicate regularly with subcontractors and customers regarding schedules, changes, and delays
Track project progress, material status, and contractor performance
Review contractor invoices and follow up on material returns (RMA)
Pull and maintain daily reports in Excel, including tracking KPIs and project metrics
Generate weekly reports and support overall program compliance
Respond to customer inquiries via phone and email, ensuring a positive customer experience
Maintain high levels of organization, accuracy, and professionalism across all tasks
Qualifications:
High school diploma required; associate degree or higher preferred
2 or more years of experience in administrative support, project coordination, or customer service
Experience supporting construction, energy efficiency, field service, or union-based projects is a strong plus
Exposure to certified payroll processes preferred (does not need to process payroll, but must be familiar with it)
Strong Excel skills required; intermediate proficiency preferred, including pivot tables and reporting
Excellent verbal and written communication skills with comfort handling daily phone communication
Highly organized, detail-oriented, and able to manage multiple projects simultaneously
Ability to stay calm and focused in a fast-paced, high-volume environment
Flexible, team-oriented mindset with a willingness to wear multiple hats
Proficiency in Microsoft Office and data entry systems
Bilingual skills are a plus
Knowledge of lighting or energy efficiency programs is a plus
