A growing construction and facilities services organization in Long Beach, CA is seeking a Project & Facilities Coordinator to support multiple projects, service schedules, customer communications, and work order processes. Key Responsibilities

- Coordinate and support multiple construction and facilities projects, ensuring timelines, communication, and administrative details stay on track.
- Maintain service technician schedules, overnight schedules, work orders, and project updates across internal systems.
- Serve as a key liaison between customers, project managers, service technicians, and internal teams to support a positive customer experience.
- Prepare, research, and process customer quotes, bids, approvals, and internal Not-to-Exceed requests.
- Receive, process, and log shipments, deliveries, parts, and materials related to active projects and service work.
- Close out work orders accurately and on time while maintaining updated records within required 24 to 48 hour timeframes.

Required Qualifications and Skills

- Manage and support multiple construction and facilities projects from coordination through closeout.
- Coordinate technician schedules, work orders, overnight work, and customer service activity.
- Prepare and manage quotes, bids, customer approvals, and Not-to-Exceed requests.
- Maintain accurate system updates, documentation, communication, and project records.
- Experience with Corrigo and/or Service Channel

- 3 or more years of experience in multi-project coordination and scheduling.
- 3 or more years of experience in customer communication, customer service, or liaison responsibilities.
- 3 or more years of experience working with work orders, quotes, approvals, or related administrative project documentation.
- Strong attention to detail with the ability to update internal systems accurately and within required timeframes.
- Ability to prioritize multiple deadlines, schedules, customer requests, and project details in a fast-paced environment.
- Strong written and verbal communication skills with a professional, customer-focused approach.
- Proactive problem-solving skills and the ability to follow through with project managers, technicians, vendors, and customers.
- Flexibility to participate in after-hours rotation, overnight schedules, projects, or work orders as required.
- 100% in office role
Preferred Qualifications

- Experience in residential, commercial, office, construction, facilities maintenance, or service coordination environments.
- Familiarity with dispatching, technician scheduling, project administration, or facilities service platforms.
- Ability to participate in customer job walks and identify opportunities for additional customer support or business growth.
