Our client, a well-established commercial construction firm in Irvine, is seeking a highly organized and experienced Project Coordinator to support multiple project managers, project engineers, and superintendents across a variety of projects. This role is critical to ensuring smooth project execution, timely billing, and accurate documentation from project award through closeout.

Position Summary
The Project Coordinator is responsible for managing all project-related documentation and administrative workflows, including purchase orders, subcontracts, change orders, billings, RFIs, submittals, and closeout packages. This role requires strong attention to detail, excellent communication skills, and the ability to support multiple construction professionals simultaneously. The ideal candidate has extensive experience in commercial or ground-up construction with a strong understanding of owner and subcontractor billing processes.

Key Responsibilities

Project Administration
Set up new projects (insurance certs, job folders, budgets, Procore setup, etc.).
Ensure all project documentation is complete, accurate, and updated regularly.
Create, issue, and track POs, subcontracts, and change orders.
Assist with permits, submittals, RFIs, meeting minutes, and weekly client reports.
Communicate effectively with subcontractors, vendors, clients, and internal staff.

Billing & Financial Support
Enter Schedule of Values (SOVs) into Procore.
Prepare and submit owner billings using client proprietary software.
Collect subcontractor invoices, conditional waivers, and required backup.
Generate pencil drafts and coordinate billing reviews with project managers.
Process and track pay applications, change orders, and closeout documentation.
Code invoices and maintain accurate billing files.

Project Support & Coordination
Facilitate communication between project managers, subcontractors, clients, and engineers.
Support weekly meetings and assist with scheduling, documentation, and reporting.
Assist with project cost tracking and provide support to field and office personnel.

Required Qualifications
Minimum 5 years of experience as a Project Coordinator or similar role in commercial construction.
Strong knowledge of construction documentation, billing workflows, SOVs, and pay apps.
Experience working with subcontractors, vendors, and client accounting teams.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to work onsite Monday–Thursday and attend weekly staff meetings.
Strong organizational skills, attention to detail, and ability to manage multiple priorities.

Additional Skills

Preferred Qualifications
Experience with Procore and/or client proprietary billing systems.
