Job Title: Project Coordinator (Commercial Construction)
Location: Onsite – Main Office
Experience Required: 5+ Years

We are seeking an experienced Project Coordinator with a minimum of five years of construction experience who is highly organized, detail-oriented, and comfortable managing project billings and documentation from start to finish. This role supports multiple Project Managers, Project Engineers, and Superintendents across various commercial and ground-up construction projects.

Position Summary
The Project Coordinator (PC) plays a key role in the successful execution of projects by managing documentation, coordinating billing processes, supporting field teams, and ensuring compliance with client requirements. This individual serves as a primary liaison with client support staff, including Accounts Receivable, and must be proficient in client software platforms such as Procore and proprietary billing systems.

Key Responsibilities
Project Setup & Documentation
Complete project setup upon award (insurance certificates, job folders, budget entry into Procore, etc.)
Maintain accurate and up-to-date project documentation
Send Procore invites and manage access for project stakeholders
Contracts & Financial Administration
Issue purchase orders (POs), subcontracts, and change orders (owner & subcontractor)
Code and track project invoices
Enter Schedule of Values (SOV) into Procore as provided by Project Manager
Assist in compiling and processing change orders
Billing & Pay Applications
Compile and submit owner billings using Procore and/or client proprietary software
Communicate with subcontractors regarding billing requirements
Collect subcontractor invoices and conditional waivers
Generate owner pencil drafts for internal review
Submit pay applications with required backup documentation

Project Support
Assist with permits and closeout documentation
Facilitate communication with subcontractors and vendors
Manage submittals, RFIs, and other documentation (as needed)
Prepare and distribute meeting minutes in Procore
Generate weekly client reports including photos, schedules, RFI logs, and change order logs

Qualifications
Minimum 4–5 years of experience in commercial or ground-up construction
Strong experience with project billings and pay applications
Proficiency in Procore (highly preferred)
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong organizational and communication skills
Ability to work onsite from the main office and attend weekly staff meetings

Reporting Structure
Reports to the VP of Internal Operations, Project Manager, Project Engineer, and/or Project Executive.
