The Project Coordinator supports our fire and electrical project businesses by working closely with Project Managers, field technicians, and cross-functional teams. This role plays a key part in ensuring projects are delivered on time, within budget, and to a high standard of customer satisfaction. The Project Coordinator is responsible for tracking, documenting, and coordinating multiple project elements while maintaining clear communication across departments.

In this role you will coordinate and manage daily schedule changes to meet customer and company needs and serve as a central point of communication between project managers, field technicians, and internal teams.

You will coordinate handoff of projects between Solutions and Service departments to ensure smooth transitions, track and report on project change orders and project close-outs and maintain accurate project records, documentation, and status updates.
The Project Coordinator will track and submit project permits as required, assist with project billing and status reviews, and support the Operations Manager with accounts receivable issues related to projects.

In this role you will participate in monthly Work-in-Progress (WIP) meetings; take detailed notes and distribute action items, assist Project Managers with material requisition, tracking, and delivery, and coordinate and maintain project material delivery schedules.
In this role you will maintain a log of back-ordered materials, including expected delivery dates as well as maintain a master inventory list of company-supplied tools assigned to each Solutions technician.

In this role you will coordinate with Purchasing for replacement or additional tools as needed, support Operations and Project Management teams with administrative and coordination needs and perform other duties as assigned by the Operations Manager.

Qualifications
Previous experience in project coordination, construction administration, or a related role preferred.
Experience supporting fire protection, electrical, construction, or service-based projects is a plus.
Strong organizational and time-management skills with the ability to manage multiple priorities.
Excellent communication and customer service skills.
Proficiency with Microsoft Office and project tracking or ERP systems.
High attention to detail and commitment to accuracy
