Job Summary
We are seeking a highly organized, proactive Senior Administrative Assistant to provide executive-level support to a Project Executive in a fast-paced construction environment. This role is critical to the success of project operations and requires strong construction industry knowledge, exceptional attention to detail, and the ability to manage multiple priorities with professionalism and discretion.
The ideal candidate is a trusted partner who can anticipate executive needs, keep complex projects organized, and ensure smooth day-to-day operations across multiple stakeholders.
Key Responsibilities
Provide direct administrative support to the Project Executive, including calendar management, meeting coordination, and travel arrangements
Prepare, edit, and manage construction-related documentation, including:
Contracts and subcontracts
Change orders
RFIs and submittals
Meeting agendas and minutes
Coordinate internal and external meetings with owners, architects, subcontractors, and project teams
Track project documentation, deadlines, and action items to ensure timely follow-up and execution
Assist with bid preparation, proposal assembly, and preconstruction documentation
Maintain organized electronic and physical filing systems in accordance with company standards
Support project financial administration, including invoice tracking, cost reports, and budget documentation
Serve as a primary point of contact for internal teams and external partners on behalf of the Project Executive
Handle confidential and sensitive information with a high level of discretion
Provide administrative support to additional executives or project teams as needed
Required Qualifications
Minimum 5–7 years of administrative experience, preferably in construction
Prior experience supporting senior-level executives or project leadership
Strong working knowledge of construction terminology, documentation, and workflows
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
Experience with construction management software (e.g., Procore, Bluebeam, Viewpoint, or similar) preferred
Excellent written and verbal communication skills
Exceptional organizational and time-management abilities
Proven ability to manage competing priorities in a deadline-driven environment
Preferred Qualifications
Associate’s or Bachelor’s degree
Experience working for a General Contractor
Familiarity with contract administration and compliance documentation
Experience supporting large-scale commercial or infrastructure projects
