Program and Event Support opportunity available with a mission-driven nonprofit organization in El Segundo, CA. Key Responsibilities
- Plan, coordinate, and support virtual meetings, webinars, hybrid events, conferences, galas, and campus programs.
- Assist with event logistics, registration, speaker and sponsor coordination, attendee communications, and day-of execution.
- Support budget development, forecasting, expense tracking, vendor coordination, and contract-related follow-up.
- Collaborate across departments to align event timelines, program needs, donor engagement activities, and stakeholder communications.
- Use event platforms, CRM tools, virtual meeting software, project management systems, and office applications to manage details and improve efficiency.
- Provide professional communication and service-focused support to donors, volunteers, vendors, partners, speakers, and internal teams.
Compensation and Benefits
- Pay rate: $28 to $29 per hour.
- Job type: Temp-to-hire.
- Schedule: Monday through Friday, 8:00 AM to 5:00 PM or 8:30 AM to 5:30 PM.
- Additional hours may be required to support programs and events.
- On-site requirement: Full-time on-site during the contract period.
- If transitioned to a regular full-time position, the schedule is three days per week in the office and two days remote.
- Travel: Moderate travel required, primarily between June and November, averaging approximately one week per month during that period.
- Training provided includes orientation to the organization’s mission, program and event planning processes, internal systems, donor engagement, event technology, budget tracking, vendor coordination, and ongoing coaching.
- Coordinate program and event planning for virtual, hybrid, and in-person events.
- Support event budgets, timelines, logistics, speakers, sponsors, vendors, and stakeholders.
- Facilitate virtual meetings, webinars, and event technology setup.
- Collaborate across departments to ensure programs and events are organized, professional, and mission-aligned.
- Bachelor’s degree in Communication, Event Management, Project Management, or a related field required.
- 3 to 5 years of relevant administrative support, project coordination, program support, or event coordination experience.
- Experience planning and facilitating virtual meetings, webinars, hybrid events, and in-person programs.
- Proficiency with virtual meeting platforms such as Zoom, Microsoft Teams, or Google Meet.
- Experience with event management or registration tools such as Eventbrite or ZKIPSTER.
- Familiarity with CRM or donor management systems such as Salesforce.
- Proficiency with Microsoft Office, including Excel, PowerPoint, and Word.
- Experience using collaboration and project tools such as Smartsheet, Microsoft Planner, SharePoint, Google Workspace, Google Drive, Dropbox, SurveyMonkey, or Google Forms.
- Strong written and verbal communication skills with the ability to interact professionally with donors, volunteers, vendors, partners, and internal teams.
- Demonstrated ability to manage vendors, contracts, external partners, budgets, and event details.
- Strong organizational skills, attention to detail, time management, and follow-through.
- Ability to remain calm, flexible, and solution-oriented in fast-paced event environments.
- Collaborative, service-oriented mindset with strong emotional intelligence, professionalism, integrity, and accountability.
- Tech-forward approach with the ability to learn new systems quickly and use tools to improve efficiency and engagement.
Preferred Qualifications
- Experience supporting nonprofit programs, donor engagement, fundraising events, or mission-driven organizations.
- Hands-on experience with galas, conferences, campus programs, webinars, and hybrid event production.
- Experience with tools such as Robotexting, SendGrid, Twilio, ZKIPSTER, Smartsheet, and Salesforce.
- Experience coordinating volunteers, sponsors, speakers, vendors, and community stakeholders.
- Ability to anticipate needs, solve problems proactively, and take ownership of event and program outcomes.
