Program & Event Planning Role Information 

Project Management / Administrative Support 

Work Hours / Schedule: Monday–Friday, 8:00 AM–5:00 PM or 8:30 AM–5:30 PM, with additional hours as required to support programs and events

On-Site Requirements: Full-time on-site during the contract period; if transitioned to a regular full-time position, three days per week in the office and two remote

Travel Requirements: Moderate travel required, primarily between June and November, averaging approximately one week per month during this period

Core Responsibilities 

  • Planning and facilitation of virtual meetings and webinars
  • Support in the planning and execution of in-person conferences, galas, and campus programs
  • Budget development and forecasting
  • Speaker/sponsor fulfillment, management, and coordination
  • Tech-savvy use of event management platforms, virtual meeting tools, and collaboration software (i.e., Robotexting, SendGrid, Twilio, Microsoft Office, ZKIPSTER)
  • Cross-functional collaboration with various departments across the organization
  • Proficiency in Excel, PowerPoint, Word, and Smartsheet
  • Strong written and verbal communication
  • Vendor oversight and coordination

 Required Background & Experience 

  • Strong background in cross-functional collaboration with team members
  • Experience planning and facilitating virtual meetings, webinars, and hybrid events
  • Proficiency with event management platforms, CRM systems, and virtual meeting technologies
  • Experience managing vendors, contracts, and external partners

 Demonstrated budget management experience
