Position Summary
The Program Operations Lead – Community Supports serves as the operational backbone of the CS portfolio, overseeing day-to-day workflows, cross-team collaboration, and provider coordination. This role ensures that referrals, authorizations, service delivery, and completion processes run efficiently and consistently.
You will play a key role in vendor engagement, process improvement, documentation compliance, and maintaining alignment with various programs, and internal quality standards. This is a collaborative leadership role ideal for someone who excels in operations, process development, and community partnership management.
Key Responsibilities
Program Operations & Oversight
• Lead day-to-day operations of Community Supports from referral through service completion.
• Provide guidance, troubleshooting, and issue escalation support to CS team members.
• Maintain internal tools, workflows, checklists, and procedures that drive operational consistency.
• Coordinate cross-functional processes including referral intake, authorizations, vendor engagement, and billing alignment.
• Identify gaps in workflows and partner with leadership to implement process improvements.
Community Partnership & Vendor Support
• Serve as the primary liaison to Community Supports vendors, offering proactive communication and problem-solving.
• Provide training, orientation, and ongoing support to vendors on program requirements and documentation standards.
• Monitor vendor compliance with contracting obligations and program expectations.
• Collaborate with leadership to strengthen, expand, and diversify the vendor network.
• Support outreach strategies that increase program visibility and strengthen community relationships.
Compliance, Documentation & Billing
• Ensure alignment with various , and internal compliance requirements.
• Support staff and vendors in meeting documentation, data accuracy, and recordkeeping standards.
• Oversee billing preparation and ensure accuracy in accordance with contract requirements.
• Partner with leadership on audits, compliance trends, and quality improvement initiatives.
Reporting, Communication & Continuous Improvement
• Prepare operational reports to highlight trends, barriers, and opportunities for enhancement.
• Communicate program updates, operational changes, and best practices to internal teams and external partners.
• Participate in continuous improvement, workflow redesign, and operational assessment activities.
• Monitor program outcomes and support strategic enhancements to the provider and client experience.
Required Qualifications
• Bachelor’s degree in Healthcare Management, Public Health, Human Services, Business Administration, Operations Management, or related field
• Equivalent experience will be considered.
• Minimum 3 years of experience in program operations, health or social service delivery, or community-based services.
• Experience supervising staff or leading teams in operational or service environments.
• Strong organizational, time-management, and multitasking abilities.
• Excellent relationship-building, communication, and collaboration skills.
• Knowledge of Medi-Cal, CalAIM, LTSS, or health/human service systems is highly preferred.
• Familiarity with documentation, compliance, and billing processes within service programs.
