Program Administrator/Project Coordinator
About the Role
We are seeking a proactive and highly organized Program Administrator to support and enhance the company’s core programs, events, communications, and state-funded training initiatives. Reporting to the Executive Director, this role ensures smooth operations, strong member engagement, and high-quality program delivery.
Key Responsibilities
Program Operations & Coordination
• Manage and enhance organizational programs in collaboration with leadership.
• Plan and execute industry programs, events, and trainings from start to finish.
• Coordinate logistics including venue arrangements, Cvent setup, materials, certificates, and communication.
• Recruit and manage presenters, instructors, and subject-matter experts.
• Recommend and implement operational and cost-saving improvements.
• Build strong relationships to promote engagement and program success.
ETP State Grant Administration
• Maintain compliance with ETP program requirements.
• Collaborate with the ETP State Representative on required submissions and documentation.
• Support successful completion of grant deliverables.
• Assist in maintaining eligibility for future grant funding cycles.
Communications & Outreach
• Contribute to quarterly/semi-annual newsletters by drafting articles and gathering photos/content.
• Attend organizational events and serve as photographer when needed.
• Update and maintain the company website with program information, event updates, articles, and resources.
• Support clear, timely, and accurate communication across all platforms.
Administrative Support
• Collaborate with leadership on event coordination, program planning, and organizational records.
• Assist with monitoring the annual budget and applying cost-effective operational practices.
• Prepare reports, organize program data, and complete special projects.
• Maintain confidentiality and uphold organizational standards and procedures.
Required Qualifications
• Bachelor’s Degree required.
• 5+ years of experience in program administration or related fields.
• 2+ years in a supervisory, management, or director-level role.
• 2+ years using Event Management Software (Cvent preferred).
• Advanced proficiency in Microsoft Office Suite.
• Strong communication skills (written, verbal, presentation).
• Ability to work early mornings, evenings, occasional Saturdays, and occasional multi-day travel.
• Ability to lift up to 45 lbs (with hand cart assistance).
Preferred Qualifications
• 2+ years of experience with ETP Funding Program Administration.
• Project management or similar operational experience.
