Payroll Specialist
Position Summary
The Payroll Specialist is a key member of the Corporate Payroll team, supporting a fast-paced, customer service–driven environment with high visibility across the organization. This role interacts regularly with colleagues and leadership at all levels and plays a critical part in ensuring accurate, compliant, and timely payroll processing.
The ideal candidate demonstrates strong attention to detail, sound judgment, confidentiality, and a commitment to operational excellence. This position offers valuable exposure to payroll operations that directly impact employees’ professional lives.
Key Responsibilities
Process U.S. and Canadian payroll accurately and on schedule
Research, identify, and resolve payroll processing errors and discrepancies
Maintain compliance with federal, state, and provincial payroll regulations
Communicate effectively with local management teams to ensure accurate payroll data
Complete and balance all required payroll reconciliations
Accurately prepare and process Form 941, W-2, T4, and other required tax documentation
Maintain payroll data securely and in compliance with company policies
Develop and maintain accurate process documentation, manuals, and SOPs
Provide timely, professional payroll guidance and support to employees
Serve as secondary processor for U.S. and Canadian non-exempt payrolls
Collaborate cross-functionally to deliver exceptional internal customer service
Contribute to special projects and support management reporting and metrics
Identify opportunities for process and system improvements with a continuous improvement mindset
Qualifications
Minimum of 3 years of general office or accounting experience; payroll experience preferred
Associate’s or Bachelor’s degree preferred (or equivalent experience)
Intermediate knowledge of accounting principles and mathematical procedures
Strong attention to detail with the ability to identify and resolve discrepancies
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
Excellent written and verbal communication skills
Strong organizational and time management skills
Ability to work independently and collaboratively within a team
Comfortable making timely, well-informed decisions
Proficiency in Microsoft Word, Excel, and Outlook
Knowledge of IBM (CICS & IMS) and MDM systems preferred
Familiarity with corporate structures and business units preferred
