About the Role
We are seeking a detail-oriented, reliable Payroll Coordinator to support payroll operations within a fast-paced homecare and healthcare environment. This role plays a critical part in ensuring caregivers are paid accurately and on time, while maintaining strict compliance with company policies and labor regulations. The ideal candidate is highly organized, thrives in a high-volume administrative setting, and has strong communication skills—especially when following up with caregivers to resolve timekeeping issues.

Key Responsibilities
Timekeeping & Payroll Processing

Review and reconcile caregiver timekeeping data for accuracy using WellSky (homecare management system).
Contact caregivers via phone to collect missing timesheets, clarify shift details, and resolve discrepancies.
Enter, audit, and verify large volumes of timekeeping data to ensure accurate payroll processing and billing.
Identify, flag, and track recurring timekeeping errors or documentation gaps.

Coordination & Verification

Partner closely with scheduling teams to ensure hours align with caregiver assignments.
Verify hours worked, pay rate variations (including incentive/weekend rates), and mileage reimbursements.
Track employee leave time such as sick and personal leave.

Employee Records Management

Process new-hire payroll paperwork and input employee data into payroll systems.
Maintain payroll records related to exemptions, transfers, terminations, and resignations.
Document payroll corrections, communications, and discrepancies for compliance and auditing.

Workflow Improvement & Support

Assist in identifying opportunities to improve payroll workflows and timekeeping tracking procedures.
Perform additional administrative duties as assigned.


Qualifications

Previous experience in payroll, timekeeping, or administrative support required; healthcare/homecare experience strongly preferred.
Strong phone communication skills with confidence in following up with staff.
Familiarity with payroll/timekeeping systems (Paycor and/or WellSky a plus).
Exceptional attention to detail with high accuracy and organization.
Ability to handle confidential information with discretion.
Proficient in Excel, Word, Outlook, and general computer systems.

Work Environment

100% on-site in a corporate office setting.
Monday through Friday, standard business hours.
Frequent interaction with caregivers, internal leadership, and cross-functional teams.
