About the Role
We are seeking a highly detail-oriented Payroll & Accounts Receivable Specialist to join our team in Irvine, CA. In this role, you’ll manage payroll processing, full-cycle billing, A/R activities, and support collections. This position works closely with the Controller and requires strong accuracy, discretion, and proficiency in QuickBooks.
This is a fully on-site opportunity with no remote options, ideal for someone seeking a long-term fit in a collaborative and stable team environment.
Key Responsibilities
Set up billing folders and enter new jobs into the billing calendar.
Schedule draft billing due dates based on contract terms and monitor monthly billing activity.
Prepare and process hard-copy billings after customer approval; ensure timely submission.
Review projects monthly for retention billings.
Respond promptly to internal and external billing, collection, and documentation requests.
Process payroll accurately and on schedule using QuickBooks.
Assist with collections and follow up on outstanding invoices.
Manage and verify expense reports with precision.
Required Qualifications
Minimum 3 years of hands-on experience in QuickBooks Payroll, A/R, and billing.
Solid understanding of payroll taxes, deductions, and PTO processing.
Strong A/R background with proven accuracy in numerical review.
Proficiency in QuickBooks (testing required).
Intermediate to advanced Excel skills, including pivot tables and report creation.
Detail-oriented, organized, and able to manage multiple deadlines.
High level of discretion and professionalism; able to handle confidential information.
Strong problem-solving skills and accountability.
